General SummarySupport Staff is responsible for assisting with the department and participants. Support Staff will provide administrative and clerical assistance to staff, and perform day-to-day operational tasks including answering telephones, paper case filing, conducting follow-up telephone calls, email, mail, data input, and assist with walk-in participants. Support Staff will perform duties to comply with the Funding Terms & Conditions, Regulations, and Policies of the funding source and MAOF.
Essential Duties and Responsibilities- Conduct face‑to‑face and over‑the‑phone interviews with participants and anyone affiliated to the client, to receive and process documentation and/or discuss changes in the case.
- Receive and process mail, and log documentation into program database in a timely manner according to program regulations and guidelines.
- Answer incoming phone calls, relay messages and assist clients promptly with proper phone etiquette.
- Participate as a unit member in the evaluation and improvement of program services to participants, and the public.
- Support department staff to include, but not limited to photocopying, filing, typing, sending/receiving/logging mailings, relaying messages, preparing documentation, emailing, typing, and incoming and outgoing mail processing.
- Offer technical support and assistance to participants to provide for a smooth department process.
- Attend staff meetings, workshops, and conferences, as assigned.
- Maintain confidentiality.
- Other job‑related duties as assigned.
- High School Diploma or equivalent; (AA degree or higher preferred).
- Experience working in the field or equivalent preferred.
- Working knowledge of the existing L.A. County welfare system, preferred.
- Interpersonal and communication skills.
- Bilingual in English and Spanish required.
- Intermediate knowledge of Word, Excel, and other Microsoft Office programs.
- Knowledge of office skills and use of office equipment; photocopying, filing, emailing, typing, and mail processing preferred.
- Sensitivity and ability to work well with diverse ethnic, religious, and cultural groups.
- Ability to work Monday through Friday, regular schedule hours and on weekends if needed.
- Excellent customer service and problem resolution skills.
- Must have a positive attitude with a desire to work with and promote the welfare of children and their families.
- Sensitive to the needs of the program and the public.
- Ability to apply common sense understanding to carry out instructions furnished verbally and in writing.
- Ability to maintain cooperative, diplomatic working relationships with co‑workers and supervisors; work as part of a team and collaborate with the department.
- Help the department meet deadlines even when there are competing requirements and changes in assignments.
- Must be in good physical and mental condition.
- Must be 18 years of age to apply.
- Must pass the T.B. test, drug screening, and physical examination.
- Successful background and criminal clearance required and maintained but not limited to California Department of Justice (DOJ), Federal Bureau of Investigation (FBI), and Child Abuse Index, or as required by the program.
- Must possess Live Scan clearance during employment. Revoked fingerprint clearance will lead to immediate termination of employment.
- Ability to travel, as required.
