Under the direction of Administrative Services Manager, the Office Assistant performs a variety of general clerical duties related to customer service, filing, reception, form processing, record maintenance, mail, typing, and data entry;
The position may require flexible work hours.
Essential functions and duties may include, but are not limited to the following:
- Greets patrons and provides excellent customer service to members of the public.
- Processes program registration, pool passes, and facility use requests.
- Handles financial transactions, reconcile daily receipts, and prepare deposits.
- Supplies the public with general information regarding parks, facilities, and recreation programs.
- Answers the telephone, and routs calls as needed.
- Maintains and organizes records, computer files, and documents.
- Maintains calendar reflecting District facilities use and events.
- Performs light custodial duties including vacuuming, cleaning windows, sweeping, etc. as necessary.
- Protect confidential information by preventing unauthorized release, both verbal and/or in writing.
- Performs other duties as assigned.
- How to provide excellent customer service.
- Use of office equipment, including personal computers and registration software.
- Principles of cash handling.
- Communicate clearly, concisely, and effectively, both orally and in writing.
- Work independently and make routine decisions in the absence of supervision.
- Type and write accurately and at a speed necessary for successful job performance.
- Work harmoniously and cooperatively with fellow employees and the public.
- Analyze problems, evaluate alternatives and make creative recommendations.
- Prioritize projects, multi-task and complete projects in a timely manner.
Required:
- Must have completed the twelfth grade and possess a High School diploma or equivalent.
- Previous experience working as a customer service representative and/or with recreation programs.
- Proof of a negative Tuberculosis screening within the last two years is a pre‑requisite for employment.
- Essential functions may require maintaining physical condition necessary for moderate lifting, bending, stooping, and sitting for long periods of time at a workstation.
- May at times require physical exertion in connection with athletic activities or carrying/lifting equipment or supplies weighing up to 25 pounds.
- Occasional duties of this job are performed in an outdoor environment with exposure to varying climate and temperature conditions including exposure to sunlight, standing and walking on uneven surfaces, continuous contact with patrons, and exposure to loud noises.
