About The Role
The Resource Coordinator plays a vital, entry-level role at the heart of how our agency operates. This is the starting point of a career journey into Agency Operations, Project Management, or Client Services, offering a rare helicopter view across our people, projects, and clients.
Sitting at the intersection of people and data, this role helps ensure the right people are on the right work at the right time. By maintaining clear, accurate resourcing and forecasting information, the Resource Coordinator directly supports smooth delivery, healthy team workloads, and confident revenue forecasting — all of which underpin client satisfaction and agency performance.
This role is both an art and a science. You’ll work with schedules, systems, and numbers, but also with people, judgement, and nuance. In doing so, you’ll build a deep, practical understanding of what makes agencies run well. For high performers, this role provides a clear pathway into Client Services or Project Management after approximately 18 months, where you’ll be well prepared to step into the next phase of agency life.

Responsibilities1. Resource Allocation and Scheduling
Maintain and Manage Schedules:
Own the upkeep and accuracy of the Resource Allocation Schedule (RAS) or equivalent system, ensuring all project assignments, utilisation percentages, and planned time-off/non-billable activities (e.g., training) are recorded promptly and accurately.Fulfil Resource Requests:
Process and fulfil incoming project resource requests based on availability, required skills, and organisational priority, escalating critical conflicts to the Digital Production Manager.Workload Balancing:
Assist in monitoring team members' utilisation rates to prevent both over-allocation (burnout) and under-utilisation (inefficiency), suggesting minor reassignments to balance workloads.
Ensure the integrity of resource data, including updating employee profiles with current skills, certifications, and expected availability.
Collaborate with Project Managers by assisting with the tracking and submission of billable and non-billable hours, helping ensure time is recorded against the correct projects.
Maintain and regularly update the Resource Allocation Schedule (RAS) to track onboarding and offboarding status and ensure alignment across teams.
Ensure all resource management practices adhere to established organisational policies and compliance standards.
Coordinate administrative details related to resource deployment.
Carry out additional responsibilities as required.
Continuously build your skills, confidence, and understanding of agency operations, resourcing, and delivery, staying curious and proactive in developing your knowledge and capability over time.
You may be fresh out of education, early in your career, or already working in a support or coordination role within a fast-paced environment such as an agency, office or operations team. Prior experience in resourcing or project delivery is not required.
