Overview
Summary The Program Support Assistant (PSA) is responsible for assisting with administration and coordination of activities within and outside of Pharmacy Service. The PSA provides extensive support on administrative matters affecting patient care - education - special projects - and daily operations for a complex clinical service.
QualificationsTo qualify for this position - applicants must meet all requirements by the closing date of this announcement - 02/04/2026. Time-In-Grade Requirement:
Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-7 position you must have served 52 weeks at the GS-6. The grade may have been in any occupation - but must have been held in the Federal service.
An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year - it may not clearly demonstrate you possess one-year time-in-grade - as required by the announcement. In this instance - you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade.

Specialized
Experience:
You must have one year of specialized experience equivalent to at least the next lower grade GS-6 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include - but are not limited to: scheduling appointments and meetings; serving as a liaison to represent a department; composing correspondence such as letters or reports - scheduling interviews - planning and accomplishing special projects;
serving as a database administrator; researching and/or analyzing programs - issues - or program requirements; planning - coordinating - and assisting with budgets; serve as the Fund Control Point Point of Contact and manage a government purchase card; scheduling and confirming accountability of controlled substances; preparing meeting minutes and agendas. - Major Duties Serves as the staff assistant to the Chief of Pharmacy - Associate Pharmacy Chiefs - and other supervisors
- Represents managements in replying to questions - concerns - processes - and procedures
- Responsible for scheduling appointments and meetings
- Creates pharmacy schedules and inputs data for timekeeping
- Talent Management System Administrator (TMS) responsible for tracking required staff training and providing answers to TMS trainings
- Act as a liaison for Pharmacy Service when interacting with other departments and two schools of Pharmacy
- Compose correspondence such as letters - memos - and reports
- Responds to questions - complaints - or issues which require the explanation of technical - personnel - regulatory practices and pharmacy procedures
- Plan and/or accomplish special projects related to administrative or support issues
- Extract and assemble information - conducts analysis and develops reports or presentations to disseminate results
- Research and analyze problems - issues or program requirements and complicated administrative issues
- Develops recommendations and proposals to present to Pharmacy management
- Monitor and tracks fund levels
- Submits requests or changes to budget
- Prepare fiscal year s budget estimates for administrative needs
- Responsible for the use and management of a government purchase card
- Procures and creates purchase orders and requisitions for general supplies and other necessary items
- Work with Supply Chain Management service to maintain equipment and inventories
- Schedules and confirms availability of controlled substance verifiers for all Pharmacy regulated annual inventories
- Sets and prepares agendas for the Pharmacy Therapeutics Committee
