The U.S. business covers logistics, warehousing, dealer partnerships, administrative operations, and multi-state sales expansion. As the organization continues to scale, it is building formal processes, strengthening compliance, improving internal systems, and preparing for significant growth.
Role SummaryThe Human Resources & Administrative Coordinator will support all people-related functions and assist with general administrative operations across the U.S. business. This role will manage onboarding, documentation, systems setup, recruiting coordination, and internal process development.
This is a foundational opportunity for someone interested in helping shape HR infrastructure within a fast-growing organization.
Key Responsibilities 1. Recruitment & Hiring Support- Post job openings on platforms such as Indeed, Linked In, Zip Recruiter, etc.
- Coordinate candidate screening, interview scheduling, and reference checks.
- Prepare employment agreements, contractor agreements, and new hire packets.
- Support hiring across multiple states (e.g., CA, NJ, MI, IL, IN, OH, etc.).
- Set up new employees on required software and internal systems.
- Collect and manage W-4, I-9, NDA, background check, and onboarding documentation.
- Manage offboarding processes, including checklists and equipment return.
- Maintain accurate employee files and ensure multi-state compliance.
- Track PTO, employee handbook acknowledgments, and signed policies.
- Assist in developing HR policies, procedures, and organizational frameworks.
- Support the Operations Manager with administrative tasks related to logistics, accounting, sales, and vendor communications.
- Maintain calendars, meeting notes, and internal communications.
- Coordinate with overseas teams in China and assist with bilingual documentation.
- Support warehouse and office administrative tasks as needed.
- Assist in developing and improving HR workflows and internal processes.
- Manage templates including offer letters, NDAs, agreements, and onboarding documents.
- Support the use of internal tools such as:
- Microsoft Workspace
- Quick Books
- Internal spreadsheets
- WeChat for communication
- Process vendor onboarding documentation.
- Coordinate scheduling across U.S. and China teams.
- Assist with shipping documentation and warehouse paperwork.
Required
- Authorized to work in the United States
- 1–3 years of experience in HR, Recruiting, Office Administration, or Operations
- Strong organizational skills and attention to detail
- Bilingual in English and Mandarin
- Ability to manage multiple priorities in a fast-paced environment
- Excellent written and verbal communication skills
- Salary Range: $60,000 – $70,000
