Rental Coordinator – Owensound Location

Battlefield Equipment Rentals, a division of Toromont Industries Ltd
, one of Canada’s premi­er construction rental companies, urgently needs a Rental Coordinator to work at our fast‑paced Owensound branch. The role serves as the direct liaison between staff and customers and is crucial to developing successful relationships and maintaining our growing customer base.

Key Responsibilities
  • Provide excellent customer relations through phone, email and face‑to‑face interactions while maintaining a positive and professional attitude.
  • Perform assigned tasks with attention to detail and organize all documentation within company software.
  • Work effectively within a team environment.
  • Act as the direct liaison between staff and customers.
  • Open and close the branch when necessary.
  • Prepare paperwork and contracts for deliveries; update internal product spreadsheets and other tracking systems.
  • Facilitate customer calls and walk‑ins, including sourcing equipment, coordinating and securing deliveries.
  • Monitor inventories of rental equipment and saleable goods.
  • Assist with loading and unloading customer pick‑ups when required.
  • Restock product shelves as needed.
  • Ensure all deliveries are organized for the following day.
  • Complete daily closing requirements, including invoice checks, pricing and information accuracy, and balance funds.
  • Be on call for work schedules when required.
  • Adhere to all workplace safety protocols and environmentally sound practices at all times.
  • Provide administrative and invoicing support.
  • Provide repair and service quotes to customers.
  • Ensure technicians’ parts are ordered and allocated to proper equipment.
  • Enter work orders for internal machines and allocate parts to specific orders.
  • Monitor and track outstanding parts orders.
  • Work cross‑functionally with other departments to facilitate timely repairs.
  • Monitor and maintain parts inventory, including scheduled counts, transfers, and bin locations.
  • Oversee the repair process.
  • Invoice orders as needed.
  • Assist other departments when needed.
  • Perform other duties as assigned.
Key Qualifications
  • Proficiency or prior experience with Systematics is an asset.
  • Technical aptitude of CAT equipment and operations is an asset.
  • Experience with Microsoft applications, specifically Outlook, Word, and Excel.
  • Knowledge of construction equipment and building products.
  • Previous experience in a related field.
  • A self‑starter with strong time‑management and planning skills.
  • Professional customer service skills and good communication.
  • Ability to work effectively within a team environment.
