Position Overview

As part of the EMN Administrative Unit, this position supports a large interdisciplinary unit that includes the Department of Evolution, Ecology & Organismal Biology, the Department of Molecular, Cell & Systems Biology, the Natural Reserve System, the Stem Cell Center, the Imaging Core, and two graduate programs. The Administrative Assistant III creates training material, streamlines front‑desk processes, implements new systems, mentors junior staff, and performs general administrative and accounting duties.

The role also serves as the backup to the Procurement Supervisor, processes order requests, travel and entertainment reimbursements, recharges, and encumbrances, and assists with seminar duties and visitor greetings for over 300 faculty, staff, and students.
Responsibilities include:

  • Develop training materials and standard operating procedures
  • Streamline front‑desk operations and maintain user guides
  • Oversee implementation of new administrative systems
  • Mentor and train junior administrative staff
  • Perform bookkeeping, order processing, and procurement support
  • Process travel and entertainment reimbursements via web‑based applications
  • Assist with seminar scheduling, visitor orientation, and event coordination
  • Ensure adherence to UC policies and procedures across all functions

Salary: $29.35–$42.06 per hour (expected pay scale $29.35–$35.26 per hour). Compensation is based on education, experience, licensure, certifications, and organizational needs.

Educational Requirements

• Five (5) years of related office administration experience, or
• A Bachelor's degree and at least one (1) year of experience, or
• An equivalent combination of education and experience.

Experience Requirements

• Four (4) years of demonstrated administrative support in an office environment.
• Experience working in a higher‑education institution.
• Experience using UCR’s e‑Buy purchasing system is preferred.

Minimum Requirements (Key Skills)
  • Interpret and communicate policy and procedure effectively.
  • Work independently with minimal supervision, meeting deadlines despite frequent interruptions.
  • Prioritize tasks, manage multiple assignments, and maintain accuracy under pressure.
  • Use Microsoft Office (Word, Excel, Access, PowerPoint) and desktop publishing tools (Adobe Page Maker, Photoshop, Acrobat, Publisher).
  • Maintain confidentiality and exhibit excellent written and oral communication skills.
  • Interact professionally with diverse groups, fostering cooperative relationships.
  • Analyze information and independently implement solutions.
  • Proofread materials for grammar, spelling, punctuation, and formatting standards.
  • Maintain filing and records systems.
Preferred Qualifications
  • Knowledge of UCR travel and entertainment policies and experience using the i‑Travel system.
  • Familiarity with the University of California financial structure, processes, and documentation.
  • Working knowledge of accounting principles, with skills in preparing and maintaining financial information and records, and developing spreadsheets and databases.
