Job Description

This is the entry, training, and full journey level for the series. Under close supervision, incumbents receive training in the technical work of processing, maintaining, and controlling inmate, youthful offender, and parolee records; prepare routine documents and records information relating to an inmate or youthful offender’s classification, transfer, releases, return to a facility, and other actions affecting legal status; assemble case record files;

enter data in an automated system; file various documents in inmate, youthful offender, and parolee files; and answer inquiries from State, city, county, Federal, and private sector law‑enforcement agencies and departmental employees regarding records.

Responsibilities
  • Process and maintain inmate, youthful offender, and parolee data in automated systems.
  • Assemble and file case record files.
  • Prepare routine documents and records information related to inmate classification, transfer, release, and re‑entry.
  • Answer inquiries from government agencies and departmental employees regarding records.
  • Maintain filing system and perform technical tasks in correctional case record keeping.
  • Use office machines and computer systems to support record‑keeping operations.
Minimum Qualifications
  • One year of experience performing clerical duties in the processing and maintenance of office records (or equivalent to 12th grade or a business school curriculum).
  • Proficiency in modern office supplies, equipment, and procedures; grammar, spelling, punctuation, modern English usage; arithmetic; and computer systems.
  • Ability to interpret written and numerical data; enter data accurately into databases; perform mathematical computations; follow instructions; use tact and sound judgment.
Desirable Qualifications
  • Willingness to create and promote an equitable and inclusive workplace.
  • Knowledge of modern office supplies, procedures, laws, rules, and regulations related to case‑record keeping.
  • Experience in general clerical duties and the use of office machinery.
Special Requirements
  • All documents submitted for application must exclude confidential information (SSN, birthdate, driver’s license number, etc.).
  • Background investigation, Live Scan Fingerprinting, and Tuberculosis testing are required before appointment for candidates new to CDCR.
