Key Responsibilities- Administrative Support: Manage calendars, schedule meetings, and coordinate travel arrangements for executives and advisors.
- Document Management: Prepare, proofread, and maintain trust-related documents, correspondence, and client files in compliance with legal and regulatory standards.
- Client Interaction: Serve as a primary point of contact for clients and families, providing courteous and professional assistance while maintaining confidentiality.
- Data Entry & Reporting: Update and maintain databases, track trust activities, and generate reports for internal and client use.
- Compliance & Recordkeeping: Ensure accurate documentation and adherence to firm policies, state regulations, and fiduciary requirements.
- Office Coordination: Oversee supply inventory, vendor relationships, and assist with billing and invoicing processes.
- Project Assistance: Support advisors with research, meeting preparation, and special projects related to trust administration and client services.
- 5+ years of administrative experience, preferably in financial services, legal, or trust administration.
- Strong knowledge of office procedures and proficiency in Microsoft Office Suite and CRM systems.
- Excellent organizational, communication, and time-management skills.
- Ability to handle confidential information with integrity and discretion.
- Bachelor’s Degree REQUIRED
