Location: California

We are seeking an experienced Accounting Specialist to manage full-cycle Accounts Receivable, Accounts Payable, and Payroll, along with daily billing and general office support.

This is a high visibility role ideal for someone who thrives in a structured environment, manages deadlines with confidence, and handles sensitive information with discretion.

What You’ll Do Accounts Receivable & Billing
  • Prepare and send daily customer invoices and statements
  • Manage progress billing, including job tracking, compiling backup documentation, and issuing draws/invoices
  • Apply customer payments and maintain accurate AR records
  • Follow up on past-due balances and support collections professionally
  • Ensure contracts and purchase orders align with invoicing requirements
Accounts Payable
  • Receive, code, and enter vendor invoices
  • Match invoices to purchase orders and approvals
  • Prepare weekly check runs (ACH, check, credit card)
  • Maintain vendor files, W-9s, and support 1099 tracking
Payroll
  • Process payroll on a weekly or biweekly schedule
  • Maintain payroll records and time documentation
  • Coordinate payroll changes including new hires, rate changes, deductions, and reimbursements
  • Respond to employee payroll inquiries
Additional Support
  • Reconcile bank and credit card accounts
  • Assist with new-hire onboarding packages
  • Support general office administration including mail handling
What We’re Looking For
  • AR/AP (payroll experience strongly preferred)
  • Experience with billing processes; progress billing is a plus
  • Strong reconciliation skills
  • High level of discretion with payroll and HR information
  • Proficient in Excel and accounting/payroll systems (Quick Books, Sage, ADP, Paychex, or similar)
  • Highly organized with strong attention to detail and ability to manage multiple deadlines
