The College of Business Dean’s Office invites applications for a Administrative Associate Manager to serve as the office coordinator, building manager and events assistant.
Office Coordinator- First point of contact for all visitors, faculty, staff and external guests entering the Gallagher Business Building.
- Performs routine clerical and administrative functions; provides administrative support to multiple staff members.
- Works closely with the Director of Operations on all tasks and projects executed in the Dean’s Office.
- Supports onboarding of new employees in coordination with the Director of Operations (office preparation, keys, system access, etc.).
- Handles Procard redistributions, travel reimbursements and non-PO payments for COB staff.
- Works closely with COB’s technology team.
- Other duties as assigned.
- Conducts building inspections; reports issues and requests repairs or equipment needs through Facility Services.
- Serves as the point of contact for renovations or improvements in the Gallagher Business Building, providing project management assistance.
- Coordinates with COB Information Technology to ensure technology needs are met for courses, events and room rentals.
- Initiates safety and compliance through daily operational practices.
- Works closely with custodial team.
- Assists the Director of Operations with internal and external events management, including manage catering, vendors, contract negotiations and booking accommodations.
- Provides support for Career Development events.
- Serves as a contact for internal and external entities requesting room usage in the building for ongoing or one-time events.
- High school diploma (or equivalency); or any combination of experience and education that provides the competencies necessary to successfully execute the duties and responsibilities assigned.
- Proficiency in Microsoft Office applications and the ability to quickly learn and adapt to new technologies.
- Excellent written and verbal communication skills, including professional customer service, conflict resolution and the ability to communicate effectively with diverse internal and external stakeholders.
- Demonstrated strong organizational, multitasking, time-management, and critical-thinking abilities, with a proven capacity to work independently, use sound judgment, take initiative, and consistently meet deadlines in fast-paced, dynamic environments with frequent interruptions.
- Proven ability to maintain strict confidentiality, professionalism, punctuality and a respectful demeanor while anticipating needs and providing high-level support on complex or unstructured tasks.
- Flexibility to work evenings and weekends (infrequent) with advance notice.
- The ability to collaborate effectively or work independently as project needs dictate.
- Bachelor’s degree plus three (3) years of applicable experience.
- Knowledge of university policies and procedures.

Title:
Administrative Associate Manager - Union: FOCUS-MFPE
- Work Schedule:
Full-time, 1.0 FTE (40 Hours a week), Monday through Friday 8:00 am to 5:00 pm. - Probationary Period:
Six (6) months minimum
