Job Purpose

The Special Services Administrative Assistant serves as the central point of contact for the Department of Special Services. This position is responsible for providing professional, courteous, and efficient support for districts requesting records, managing incoming communications, and performing a variety of administrative tasks to ensure smooth and effective office operations.

Essential Functions
  • Answer and route incoming calls using a multi-line phone system; take accurate messages and respond to general inquiries.
  • Receive records requests for other school districts and provide requested information
  • Receive records requests from school within district for new students and request information from previous school district
  • Schedule testing for pre‑k students
  • Schedule eligibility meetings
  • Provide clerical support to special services staff, including data entry, photocopying, filing, and document preparation.
  • Maintain records and logs as assigned, including records received from and sent to other school districts
  • Operate standard office equipment such as computers, printers, copiers, and fax machines.
  • Uphold confidentiality and adhere to district policies when handling sensitive information.
  • Regular, timely/dependable, in person attendance is an essential function of this position.
  • Perform such other and not specifically enumerated duties as may be requested by the Board of Education, superintendent, administrator, director or established by district policy, state, or federal guidelines.
  • Read, understand, and abide by the Professional Educator Code of Conduct Policy, all other district policies and applicable procedures and protocols as established by LCS.
Knowledge, Skills, And Abilities
  • Knowledge of office practices, procedures, and equipment.
  • Familiarity with basic school district operations and customer service principles.
  • Ability to communicate effectively and courteously with staff, students, parents, and the public.
  • Proficient in Google Applications (Calendar, Docs, Forms) and basic data entry.
  • Skilled in handling multiple tasks simultaneously while maintaining attention to detail.
  • Ability to remain calm and professional under pressure or in high‑traffic situations.
  • Strong organizational and time‑management skills.
  • Ability to maintain confidentiality and exercise sound judgment in handling sensitive information.
Qualifications
  • High school diploma or GED required.
  • Minimum of one year of experience in a receptionist or clerical role; experience in an educational environment preferred.
  • Demonstrated proficiency in computer usage and common office software.
  • Ability to pass background check and meet district employment requirements.
