Position: Coordinator-Central Staffing, Baldwyn

Summary

Coordination with department managers to understand and identify staffing needs and concerns to ensure adequate coverage across all units. Develop and manage staff schedules to efficiently allocate resources and meet patient care demands. Ensure staffing data for all inpatient units is entered accurately and timely in real time. Analyze staffing patterns to forecast needs and provide data-driven recommendations. Ensure compliance with hospital policies, labor laws, and regulatory requirements.

Responsibilities
  • Coordinate with department managers to understand and identify staffing needs and concerns to ensure adequate coverage across all units.
  • Develop and manage staff schedules, ensuring efficient allocation of resources to meet patient care demands.
  • Ensure and maintain accurate and timely staffing data for all inpatient units.
  • Analyze staffing patterns, forecast needs, and provide data-driven recommendations to optimize staffing levels.
  • Ensure staffing practices comply with hospital policies, labor laws, and regulatory requirements.
  • Use Excel proficiently for data analysis.
  • Prepare and submit regular reports on staffing metrics, trends, needs, and adjustments to leadership.
  • Ensure compliance with NMMC policy regarding staffing and safe scheduling.
  • Facilitate orientation and training sessions for employees new to this role.
  • Maintain daily shift operations in staffing office.
  • Complete API data entry for entire inpatient areas (Nursing Services).
  • Record call‑ins, schedule changes, sick leave, floating of staff, and low census hours in API system.
  • Participate in reviewing and revising staffing processes for effective and efficient operations.
Reporting
  • 4‑Week Staffing Projection Grid, SHRIN Log Report, Staffing Adjustment, 24‑Hour Summary, Pre‑Staffing Grids, Have/Needs Report, Employee Clocking Report, Late Schedule Change Report, Late Call‑In Report.
  • Communicate pertinent staffing plans for future shifts with Supervisors, Clinical Managers, and/or Charge Nurses to verify and facilitate daily staffing.
  • Contact off‑duty or part‑time personnel to cover call‑ins or vacancies.
  • Facilitate phone calls and requests from various departments.
  • Manage the upkeep of Service Recovery Box.
EPIC
  • Enter funeral home data into the Electronic Medical Record and notify the funeral home.
Scheduling System Trainer
  • Offer training and support to department managers and employees on staffing policies, procedures, and scheduling software.
  • Provide impromptu employee training on the current scheduling system and the self‑scheduling app.
  • Assist with implementation training of various departments and/or facilities for scheduling.
  • Assist managers with daily maintenance and editing of schedules.
  • Facilitate help desk support for employees with questions regarding the scheduling system.
Qualifications

Education: Associate’s Degree in Business or a related field (required).

Licenses and

Certifications:

Required and preferred as listed (no specific requirements indicated).

Work Experience: 1–3 years required in medical/hospital or other relevant experience; 3 years preferred. Experience required in data entry/organization, record keeping, staffing or scheduling.

  • Knowledge, Skills, and Abilities: Must demonstrate excellence in verbal and written communication; proficiency in Word, Excel, scheduling software; knowledge of staff roles and functions; positive public relations; initiative in calling personnel for coverage; ability to work under pressure, prioritize, multitask; flexibility; strong organizational and time‑management skills; analytical skills to interpret staffing data and make informed decisions; ability to work in fast‑paced environment.
