The Proposal Specialist will work closely with corporate and regional buildings teams on developing and submitting proposals, leading marketing tactics and supporting business development initiatives.

Responsibilities:
Coordinate the proposal preparation and submission:Read and distribute Request for Pre-Qualification/Request for Proposal (RFPQ/RFP) information to the pursuit teamCreate and distribute the responsibility matrix with the pursuit teamDistribute requests for information internally, as requiredCentralize and standardize RFP contentSet deadlines for content and manageStrategize on proposal content and work with the identified proposal leadArrange and record proposal team meetingsWork with the proposal lead to draft tailored contentManage technical contentWork with external vendors and stakeholders to obtain their input and informationReview and editing of proposal materialArrange for proposal reviewsCopy, collate, bind, distribute, courier, deliver all proposals; andShare lessons learned and best practices.Incorporate a continuous improvement mindset post submission:Track proposals – submissions, successes, opportunities for improvementSet-up and participate in debriefs and document feedbackAct as the single point of contact for all RFP, RFPQ, Expressions of Interest (EOI), and other such communicationsCreate new and update employee resumes and project sheets as neededEnsure consistent look and feel for all submittalsEnsure proposal quality and complianceArchive information and keep marketing database up to date; and,Maintain marketing information files, obtain project information at start of the project and create project folder. Manage and update this information as project progresses and upon completion.What we are looking for:
Undergraduate degree/diploma in marketing/communications, journalism or business-related field3-15 years’ experience in a sales, business development or marketing environment with proposal creation responsibilitySuperior written and verbal communication skillsAbility to communicate with team members at all levels of the organizationExperience working with the Adobe Creative Cloud Suite (InDesign, Illustrator, Photoshop)Experience working with Microsoft Office (Outlook, Word, Excel, Teams, etc.)Experience working with a CRM tool (Microsoft Dynamics) considered an assetExcellent project coordination skills and understanding of key business processesAbility to forge, grow and maintain positive relationshipsAbility to manage multiple…
