About the Role
We’re seeking a tech-savvy, adaptable Operations Manager to join our Philadelphia team as a key player in IT support and operational compliance. In this hybrid role, you’ll be part IT troubleshooter, part compliance coordinator, and part people-operations specialist. You will be responsible for keeping our tech running smoothly and our company compliant: maintaining our SOC 2 security compliance, managing various insurance coverages, assisting with HR tasks like benefits enrollment, and jumping in wherever needed.
This role is based in our Center City Philadelphia office and will require in-office presence at least 3 days per week (Mondays, Tuesdays, and Thursdays), with flexibility to work remotely on other days.
- IT Support & Administration: Manage day-to-day IT needs and troubleshoot tech issues for the team. This includes administering Google Workspace (G Suite) and Slack, setting up accounts and laptops for new hires, and ensuring office network/printer systems run smoothly. You’ll be the go-to problem solver for IT questions or problems.
- SOC 2 Compliance Management: Oversee and maintain the SOC 2 compliance program. Coordinate annual audits and security assessments, keep documentation up to date, and work with the engineering team to implement required technical controls. You’ll project-manage the compliance process to ensure we meet security standards and pass audits.
- Insurance Administration: Manage the company’s insurance policies, including corporate insurance (e.g., general liability, cybersecurity), insurance for the affiliated medical entity, and Medical Director’s malpractice insurance. Handle renewals, paperwork, and ensure there are no lapses in coverage.
- People Operations Support: Help with HR and people ops tasks to keep the team running effectively, such as benefits enrollment/administration (health insurance, 401k), onboarding new hires from an IT/operations perspective, and assisting with internal operations projects as needed.
- Ad-hoc Projects & General Ops: Take on miscellaneous operational projects in a startup environment, from improving office processes to vendor coordination and researching new software tools. You’ll tackle tasks with a proactive mindset.
- Education & Experience: 5-8 years of professional experience in IT support, operations, or related roles. Early-career candidates who have worn multiple hats in a startup or small company setting will thrive. A bachelor’s degree in Information Systems, Business, or a related field is preferred (or equivalent work experience).
- Technical Aptitude: Strong computer and technology skills, comfortable managing SaaS tools and admin consoles. Experience with Google Workspace administration and Slack management is highly beneficial. Ability to troubleshoot basic hardware/software issues and learn new tools quickly.
- Compliance Knowledge: Exposure to security or compliance frameworks (especially SOC 2, and potentially HIPAA in healthcare) is a major plus. Organization and follow-through are important. Prior experience with ISO or SOC 2 audits or maintained documentation is a bonus. (All training is available; the key is ability to learn and follow through.)
- Organization & Project Management: Excellent organizational skills and attention to detail. Ability to juggle multiple responsibilities (e.g., renewing an insurance policy, coordinating an audit) without missing tasks. Experience managing projects or vendors is helpful.
- People
Skills:
Clear communication and the ability to work with colleagues across teams. Comfortable guiding non-technical teammates through software fixes and coordinating with engineers for audits. Handle sensitive information with discretion and integrity. - Quick Learner & Problem Solver: Proactive mindset, eager to learn and solve problems. We value learners who seek information, ask questions, and figure things out.
- Owner Mentality: Willingness to take ownership of issues and wear many hats in a fast-paced environment.
- Trustworthiness & Work Ethic: High integrity with admin access to systems and confidential information. Demonstrates initiative and a strong work ethic in a scrappy startup setting.
