The RoleAs our Executive Assistant, you are the vital link that keeps our Executive Team and CEO performing at their best. This isn't just about scheduling; it’s about optimizing leadership time, tracking critical decisions, and ensuring organizational momentum never slows down. You’ll be the "go-to" person for coordination across the organization and a key support for our Board of Directors.
What You’ll DoMaster the Calendar:
Proactively manage complex schedules, resolve conflicts, and protect "focus time" so our leaders can lead.Coordinate with
Purpose:
Organize high-stakes meetings, capture clear action items, and ensure technology works seamlessly.Navigate Projects:
Use tools like to track timelines, flag risks early, and nudge projects toward the finish line.Travel & Logistics:
Design seamless travel itineraries and handle expenses with precision.Be the Face of Excellence:
Provide a warm, professional welcome to Board members, donors, and staff, maintaining the highest standards of Filoli’s brand.
Experienced:
You have 2–3 years of administrative experience (at least 1 year supporting C-level executives).Tech-Savvy:
You’re a pro with Google Workspace, Microsoft Office, and project management tools. You’re even curious about leveraging AI to work smarter.Discreet & Diplomatic:
You handle sensitive information with impeccable judgment and grace.A "Step Ahead" Thinker:
You don’t just follow instructions; you anticipate obstacles and solve them before they escalade.Mission-Driven:

Status:
Full-time (40 hours/week), Non-Exempt.Schedule:
Flexible onsite schedule; occasional evenings/weekends for Board meetings or special events.Compensation:
Depending on candidate experience, the hourly rate range is $35.00 to $38.00 and the position is benefit eligible.Location:
Beautiful onsite environment at Filoli.
