As a Receptionist you play a key role in supporting the daily operations of Irving Blending & Packaging. You serve as the first point of contact for visitors, customers, and partners, representing the organization with professionalism and warmth. Your goal is to ensure an exceptional front‑desk experience while delivering administrative support to both the Customer Service and Sales teams. Your success will be demonstrated through your ability to manage multiple tasks in a fast‑paced, team‑oriented setting, provide accurate and timely administrative support, and create a welcoming atmosphere that reflects the values of our organization.

Your Responsibilities
  • Welcome and assist visitors in person and by phone, ensuring a professional and friendly first impression
  • Maintain building security, including monitoring the visitor logbook and issuing badges
  • Respond to customer inquiries and research/resolve billing or invoice issues as needed
  • Complete daily order entry, invoicing, payment processing, and price updates
  • Maintain key administrative tools, including the EHC spreadsheet, pricing database, and customer pricing in the ERP system (Sage)
  • Provide administrative support to the Customer Service and Sales teams
  • Assist with counter service, employee orders, shipping coordination, and related payment processing
  • Process Canadian credit card transactions and complete daily reconciliation of credit card and cash payments
Your Skills
  • Proficiency in Microsoft Excel
  • Strong organizational skills with the ability to multitask, manage multiple priorities, and adapt quickly to change
  • A customer‑focused, solution‑oriented mindset
  • Strong scheduling abilities and responsiveness
  • Excellent data management skills and attention to detail, with confidence to question information that appears inaccurate
  • Bilingualism is considered an asset
Your Experience
  • High school diploma required; an Office Administration diploma and experience with SAGE or Oracle are considered assets
  • Minimum of 2 years of administrative support experience, with proficiency in MS Office and the ability to work with various software systems
  • Demonstrated eagerness to learn new programs and adapt to evolving tools and technologies.
