Overview
The Early Morning Facility Supervisor is the point of contact in the early morning hours and ensures the facility is open on time, ready for swim clubs to safely begin practice, and able to receive facility deliveries. They open and inspect the facility for hazards, vandalism, operational issues, and staffing concerns. They check all bodies of water to ensure they are clear.
The Ellis Facility Opening list and a facility-specific checklist must be completed.
The position serves as an introductory leadership role that collaborates with facility staff, vendors, and the public. It provides cross-training opportunities across areas and will be evaluated mid-season by facility management. This role reports to the Assistant General Manager and receives direction from the General Manager, Facility Coordinator, Certified Pool Operator(s), Birthday Party Coordinator, and Seasonal Managers.
FACILITY/GENERALResponsible for on-site direction of all aspects of the Aquatic Center, with a primary focus on opening operations and staffing.
- Unlock doors to pool-side storage and locker room areas on the deck side. Ensure other doors/gates are locked when not in use.
- Act as receiver and vendor point of contact for deliveries, including stocking goods to proper locations (refrigerated, frozen, dry) using established food safety protocols.
Use reporting tools and technology to manage opening/closing reports and checklists, addressing facility, equipment, supply/inventory, communication, or staffing needs. Reports are shared with all facility managers and the CPO to ensure timely collaboration.
- Communicate daily with full-time lead staff (General Manager, Assistant Manager, Facility Coordinator, CPO(s), Birthday Party Coordinator) and full-time seasonal lead staff (Seasonal Managers, Early Morning Supervisors, Lifeguard Instructors, Leads).
- Review, print, and publish reports and schedules to ensure smooth daily operation.
- Review inventories and order needed goods or notify the seasonal manager.
As an active operation, perform other duties as assigned. Ensure staffing and equipment are in place to support safe open operations and rentals.
- Review open shifts and provide staff and facility communication in the event of closures or staff absences.
Complete safety inspections essential to deck management and facility operations.
- Complete the Ellis Facility Opening list and facility-specific checklist.
- Provide proactive deck management to staff, swim club, and swim lesson participants, limiting areas of access.
Share knowledge with staff on upholding high customer service standards while adhering to facility policies. Ensure security, accountability, and accurate counts of all cash and staff supporting operations.
- Count and sort bills in daily money bags and prepare detailed bank deposit forms/reports, communicating any discrepancies to staff and facility managers.
- Accurately prep cash registers with balance, conduct regular cash counts, and assist staff with daily cash transactions and operations.
- Assist the Assistant General Manager with training, monitoring, and coaching of staff on cash handling, safety and security protocols, customer service standards, and completion of concessions and/or inventories or opening duties.
Assist Facility Coordinator and Birthday Party Coordinator with organizing, communicating, and preparing to actively manage groups and birthday parties, including:
- Communicating and confirming group details with group contacts, hosts, and facility managers.
- Organizing group and birthday party locations and setups; leading and outlining best practices for supporting staff.
- Must be 18 years of age or older
- 1+ year of experience in aquatics, recreation, or high-contact customer service
- 1+ year in a leadership position
- Current Ellis & Associates’ First Aid, CPR, & AED certification, or willingness to obtain certification
- Strong written and oral communication skills
- Ability to work with minimal supervision, use independent judgment, perform multiple tasks, and use time effectively
- Ability to establish and maintain respectful working relationships
- Ability to apply cross-cultural communication skills when working with a diverse population
- Confidence in enforcing facility rules and conducting safety inspections
- Professional conduct, courteous communication, and openness to feedback
- Demonstrates enthusiasm and the ability to motivate self and others
- Willingness to liaison across the facility (Managers, Staff, Rental Groups, Birthday/Groups, and the public)
- Dependable and reliable to open the facility
- Must provide own transportation to and from the work location
- Attend mandatory trainings and participate in supplemental training information as applicable
