Thies & Talle Management, Inc., a leading property management company with nearly forty years of experience in the multi‑housing industry, has an opening for a Part‑time Property Manager, approximately 20 hours/week, at our apartment community located in Plymouth, MN. Duties include leasing, rent collections, resident relations, and management of day‑to‑day operations. Customer service, computer, sales, organizational, and administrative skills and experience required.

Summary

The Property Manager is responsible for leasing of rental units, collection of rent, and authorization of various payments necessary to run the facility. Supervises staff to ensure smooth, efficient, and profitable operation of the site. Responds to concerns and requests of residents.

Essential Duties and Responsibilities
  • Personally inspect common areas and buildings to monitor appearance, cleanliness, maintenance, attractiveness, and safety.
  • Set appointments, show apartments, certify potential residents, and maintain a high occupancy percentage.
  • Screen applicants according to company policies and procedures; notify applicants of status through proper channels; review applications with Regional Property Manager.
  • Perform primary Property Manager duties using computer system; keep current on system changes and maintain system information.
  • Process applications to ensure rapid turnover of vacant apartments while following selection criteria; ensure new residents move in, complete move‑in inspection forms, and receive keys.
  • Ensure departing residents move out properly and complete all paperwork, including final account statements and collections packets.
  • Supervise apartment community staff, including performance management, discipline, timekeeping, and payroll.
  • Communicate frequently with Regional Property Manager on vital community needs.
  • Enforce lease and government rules, including Fair Housing laws, building safety, health codes, and local ordinances.
  • Arrange for painters, carpet cleaners, resident caretakers, and maintenance staff to prepare units for new residents.
  • Ensure reports (traffic, availability, compliance, file inspections, lease renewal, delinquency) are complete and filed timely.
  • Resolve day‑to‑day resident problems and concerns including maintenance, parking, rent or other charges, safety and security.
  • Communicate important information to residents with well‑written notices written in a positive manner.
  • Plan events and meetings with residents to develop a positive sense of community.
  • Audit and enter all invoices for payment; fully investigate questionable invoices.
  • Inspect all units every six months; send follow‑up notices and arrange for re‑inspection.
  • Document lease violations and follow up with residents.
  • Handle emergency situations including crime and fire alarms.
  • Follow and stay current on all information in the Operations Manual to ensure compliance with company policies.
Secondary Duties and Responsibilities
  • Act as liaison between residents and community services.
  • Prepare and distribute notices and newsletters.
  • Help residents and applicants with paperwork.
  • Notify residents of important events.
  • Coordinate resident functions.
  • Complete reference forms for current or former residents.
  • File documentation in resident files.
  • Work with Police Department to help site meet Crime Free Multi‑Housing program requirements.
  • Review monthly Operating Report to track income and expenses.
Supervisory Relationships

The Property Manager has supervisory responsibilities for property site staff including leasing specialist, caretaker, and maintenance staff. Responsibilities include enforcing policies, coaching employees, and delegating. The Property Manager reports to the Regional Property Manager.
