Workup Specialist - Bilingual Portuguese (Finance)
This position coordinates all aspects of managing a donor in the workup process. This includes assessing the emotional well‑being of the donor, conducting the information session and health screening, coordinating the physical examination, stem cell collection, post‑donation follow‑up, and completing required documentation.
Accountabilities- Workup Coordination
- Assesses donor needs, concerns, and the impact donation may have on donor and family, developing a unique support and coordination relationship respecting cultural and age‑related needs.
- Schedules and conducts health history screening questionnaires and donor information sessions.
- Manages scheduling and follows through with the donor’s physical exam and medical clearance process, including obtaining and reviewing exam results, supporting determinations of donor suitability and eligibility, and facilitating clearance with Donor Medical Services and the stem cell collection center.
- Completes all tasks required for donation including managing blood sample and autologous blood collections, verifying prescriptions of blood stem cells and marrow requested by transplant centers, and facilitating timely collection of samples used to determine infectious disease marker results.
- Communicates case progress with the case manager and donor; completes required documentation within designated timelines and manages required case forms and paperwork.
- Establishes and works with third‑party physical examination sites, including agencies trained to administer filgrastim for NMDP donors.
- Coordinates ordering and administration of filgrastim and similar injections, conducts daily check‑ins with donors on filgrastim, and partners with appropriate parties if a donor reacts.
- Contacts donor at NMDP‑designated time points to assess recovery, arrange blood samples, and determine if physician intervention is required.
- Removes donation barriers, resolves issues, contingency plans, and manages adverse events as needed.
- Maintains accurate and concurrent documentation and records following NMDP and department policies and requirements.
- Facilitates donor and recipient communication, information exchange, and survivorship information while monitoring confidentiality.
- Protocol Adherence
- Responsible for workup and collection activities under an Investigational New Drug (IND) or research protocol, as directed by the NMDP.
- Provides training to third‑party providers performing protocol activities on the donor.
- Continuous Process Improvement
- Implements and adopts strategies and systems to achieve Continuous Process Improvement (CPI) and organizational and department goals and targets.
- Continuing Education
- Attends NMDP‑sponsored meetings and trainings as requested; some travel may be required.
- Maintains operational and industry knowledge, keeping current with updated policies and procedures.
- Other Duties
- Performs all duties in compliance with SOPs, NMDP standards, CFR, FDA guidance, and applicable Federal, state, and local laws, and adheres to OSHA guidelines.
- Collaborates with team members to deliver optimal donor experience and meet transplant center and patient expectations for on‑time delivery.
- Participates in shared team responsibilities and staff backup, ensuring optimal coverage of cases.
- Participates on NMDP project teams as needed.
- Flexible working hours based on donor needs, including evenings, weekends, and occasional holidays.
- Strong critical thinking and decision‑making skills.
- Intermediate computer skills with experience using Microsoft Office software, strong attention to detail, and excellent organizational skills.
- Accurately and efficiently complete sensitive data forms.
- Well‑developed interpersonal skills dealing with people of different cultures and styles.
- Advanced communication skills, including writing and oral abilities, to discuss sensitive information with a wide range of people.
- Strong customer service skills and ability to apply concepts of active listening and empathy in dealing with people facing major life decisions.
