Position Overview

NSA seeks a skilled and adaptable Senior Events Coordinator to oversee event logistics during a maternity leave coverage period and support ongoing event management and coordination throughout the year. This role bridges event strategy and execution — ensuring seamless operations for all NSA conferences and special projects.

While this role will initially provide coverage during the Events Manager’s maternity leave, it is intended as an ongoing position that will continue to support event operations and coordination across NSA’s portfolio, with the opportunity for expanded responsibilities upon a successful term.

This position is ideal for a professional with 5+ years of association or corporate event planning/management experience who thrives in a small, dynamic team environment, demonstrates strong emotional intelligence (EQ), and enjoys both the big-picture planning and detailed coordination that bring world‑class events to life.

Key Responsibilities 1. Event Logistics Oversight (Interim Leadership Support)
  • Manage core logistical operations for NSA’s major events, including serving as the hotel liaison for communications and planning, housing, transportation, and other various logistics.
  • Oversee event registration systems to ensure a positive participant experience.
  • Collaborate with the Event Director to uphold quality standards and timelines during the Events Manager’s maternity leave.
  • Collaborate with the Event Director on coordinating the on‑site execution for key events (Influence, Thrive, CLI, Summit), serving as point of contact for logistics partners and vendors.
2. Event Coordination
  • Coordinate event materials, supplies, name badges, and shipping logistics.
  • Support cross‑departmental collaboration with marketing, communications, and other teams for event promotion and deliverables.
  • Manage registration data, reports, and post‑event metrics to assess outcomes and improvements.
  • Monitor and manage expense trackers, invoices, and timelines to ensure financial accuracy and adherence to budgets.
  • Identify and recommend cost‑saving or efficiency opportunities across events.
3. Special Projects

In collaboration with the Event Director, oversee the coordination, communication and planning of the Last Story Standing™ storytelling competition, including coordination of event logistics, contestant mapping and tracking, competition materials, and post‑event follow‑up.

4. Participant Experience & Engagement
  • Serve as a friendly and solutions‑focused liaison for members and attendees.
  • Gather and evaluate participant feedback to enhance future event experiences.
5. Team Collaboration & Project Management
  • Maintain project plans, checklists, and schedules to align all team members on deadlines and deliverables.
  • Coordinate virtual meetings, production timelines, and internal communication to ensure smooth execution.
  • Provide guidance and backup to temporary or volunteer staff during event periods.
Job‑Related Travel Requirement

All staff are expected to attend and support our annual Influence Conference, held in July or August of each year. Travel time is up to eight days for this conference. This position is also required to attend our Thrive Winter Conference (4–5 days) and provide as‑needed support for other events (e.g., Chapter Leaders Institute, Summit). Additional travel may arise from time to time.

Qualifications
  • Bachelor’s degree in Event Management, Hospitality, Communications, or related field (or equivalent experience).
  • Minimum 5 years of experience in event planning, coordination, or logistics (association experience preferred).
  • Proven ability to balance multiple projects in a fast‑paced, team‑oriented environment.
  • Excellent communication and interpersonal skills with strong EQ and professional presence.
  • Proficiency in event management software and Microsoft Office Suite (Salesforce/Nimble AMS a plus).
  • Strong organizational and problem‑solving skills with a proactive, can‑do attitude.
  • Willingness to travel for key NSA events (Influence, Thrive, CLI, Summit).
