We are looking for a dedicated and personable Front Desk Coordinator to join our team in Brooklyn Park, Minnesota. This position offers the opportunity to be the first point of contact for visitors, ensuring a welcoming and attentive environment. As an integral part of our operations, you will handle administrative tasks, provide customer service, and assist with various office functions. This is a long-term contract role with a focus on delivering exceptional support to both internal teams and the public.
Responsibilities:
- Greet and assist visitors, ensuring they feel welcomed and directing them to the appropriate destinations.
- Address complex or sensitive inquiries by referring them to the appropriate staff or department.
- Process utility bill payments received via drop box or walk-in, ensuring accurate handling and documentation.
- Manage conference room bookings and public appointment scheduling, while maintaining updated lobby screen information.
- Perform mailroom tasks, such as operating mailroom equipment and handling incoming and outgoing correspondence.
- Answer and manage multi-line phone systems, ensuring calls are routed appropriately and messages are relayed efficiently.
- Deliver concierge-style services to enhance the visitor experience and maintain smooth front desk operations.
Requirements
- Strong customer service skills with the ability to handle inquiries and complaints professionally.
- Proficiency in managing multi-line phone systems and switchboards.
- Familiarity with administrative tasks, such as scheduling, payment processing, and mailroom operations.
- Excellent verbal and written communication skills to interact effectively with visitors and staff.
- Ability to prioritize and manage multiple tasks in a fast-paced environment.
- Attention to detail and accuracy in handling payments and administrative duties.
- Comfortable working onsite and adhering to organizational policies and protocols.
