Olympus Ventures (OV) is a family office and private investment company with multiple investment platforms. The Executive Assistant – Investments position plays a critical role in supporting the Chief Investment Officer (CIO) and enabling the effectiveness of the OV Management leadership team.

This role provides high-level executive support to the CIO, administrative support to the VP of Private Investments, and backup coverage for select investment operations and office functions. The position reports directly to the CIO, with additional functional alignment to the VP of Private Equity and the Director of Investment Operations.

Key Responsibilities 1. Executive Support for the CIO (Approximately 60%)
  • Manage the CIO’s email inbox and calendar, including scheduling meetings, coordinating schedules, and handling correspondence.
  • Proactively manage priorities to ensure the CIO is informed of critical deadlines, and upcoming commitments.
  • Facilitate task completion and follow-ups on the CIO’s behalf, exercising sound judgment and discretion.
  • Organize, file, and maintain emails and documents according to established preferences and workflows.
  • Monitor and optimize the CIO’s meeting schedule, ensuring adequate time for preparation, debriefing, and strategic focus.
  • Serve as a key communication liaison between the CIO and internal teams, ensuring directives are clearly understood and executed.
  • Prepare agendas, briefing materials, meeting packets, and post‑meeting summaries.
  • Conduct research, compile data, and prepare reports and presentations as requested.
  • Maintain strict confidentiality and oversee sensitive information with professionalism and discretion.
  • This role may also include additional duties and special projects assigned to support operational and organizational priorities.
2. Administrative Support to VP – Private Investments (Approximately 25%)
  • Coordinate documentation of investments with external managers.
  • Coordinate investment capital call and distribution notices and related materials.
  • Manage the VP
    - Private Investments calendar, including scheduling meetings.
  • Monitor inboxes, draft correspondence, routing inquiries, and flagging priorities.
  • Planning and coordinating Investment Committee, pipeline, and portfolio meetings, including agendas, materials, notes, and follow‑ups.
  • Maintain shared departmental files, templates, and workflows in SharePoint.
  • Retrieve and file documents from external portals as needed.
3. Backup Coverage (Approximately 15%)
  • Provide structured backup coverage for designated investment operations functions, including oversight of the performance reporting inbox, when the Investment Operations Coordinator (IOC) is out of office.
  • Assist as the back up in scheduling quarterly portfolio review meetings with investors and family members when the IOC is out of the office.
  • Provide partial coverage for front desk, lunch service, and mail services when the Office Coordinator as needed. Assist in supporting special office events as needed.
Qualifications
  • Bachelor’s degree or 3+ years of executive assistant or investment‑related experience supporting senior leaders.
  • Proficiency in Outlook, Teams, SharePoint, and Microsoft Office.
  • Exceptional organizational skills with strong attention to detail.
  • Ability to coordinate multi‑party meetings, manage deadlines, and maintain document accuracy in a fast‑moving environment.
  • Possess exceptional people skills, maintains composure, adaptability, and professionalism when responding to high‑pressure or rapidly changing situations, while effectively navigating stakeholder relationships.
  • Demonstrates strong initiative, self‑direction, and professionalism, with the ability to manage sensitive/confidential information and navigate complex organizational dynamics.
  • Effectively understands and aligns work with the organization’s mission, vision, and long‑term strategic objectives.
  • Full‑time, 40 hours per week
  • Occasional flexibility during peak periods or special projects
