The Market Operations Coordinator is a hands‑on, highly organized, and people‑centered role that supports the Pioneer local office. This position ensures our team, leaders, and guests experience seamless operations, intentional culture, and thoughtful execution across office operations, employee experience, leadership support, and event‑based marketing activities.
This is not a 'back office' role — it is a highly visible, relationship‑driven position that helps Pioneer show up professionally, consistently, and with care.
What You'll Do Leadership & Firm Support- Coordinate leadership meetings, offsites, and agendas
- Support board and partner meeting logistics and materials
- Track action items and ensure follow‑through
- Assist with travel coordination
- Coordinate recruiting interviews and candidate logistics
- Deliver a polished Day One experience for new hires, including:
- Coordinating welcome lunches
- Managing office access
- Ensuring merchandise and materials are ready
- Prepare meeting materials, agendas, and follow‑up documentation
- Coordinate meeting logistics, calendars, rooms, and technology
- Document and maintain operating procedures and internal playbooks
- Convert resumes for new hires into Pioneer formats
- Support client events (e.g. executive round tables, webinars, and networking)
- Manage event invitations, registrations, tracking, and follow‑up
- Coordinate sponsor ships and partnership logistics
- Support event materials, signage, gifts, and onsite logistics
- Maintain contact lists and post‑event reporting
- Stock office snacks and supplies
- Set up in‑office events and catering
- Manage birthday and work anniversary calendars
- Order merchandise and swag for firm and events
- Act as a culture carrier and connector across Pioneer
- Track and manage laptop inventory
- Coordinate setup, shipping, redistribution, and offboarding resets
- Troubleshoot basic issues and elevate as needed
- Field team questions related to equipment and access
- 3+ years of experience in an operations, office, coordinator, or administrative role
- Experience supporting a fast‑paced, professional services or consulting environment preferred
- Strong organizational skills with the ability to manage multiple priorities and follow through consistently
- Excellent communication skills and comfort working with leaders, candidates, and external partners
- Highly relationship‑driven with a service‑oriented, people‑first mindset
- Proficient with Microsoft Office; comfortable learning new tools
- Able to coordinate logistics across meetings, events, recruiting, and onboarding
- Detail‑oriented, proactive, and comfortable in a highly visible role
- Trusted to handle sensitive information with discretion
The estimated salary range for this role is $66,000-$88,000 annually. This is based on a wide array of factors unique to each candidate, including but not limited to skillset and years and depth of experience. Bonuses and other incentives are awarded at the Company's discretion and are based upon individual contributions and overall company performance.
