The Scheduling Coordinator is responsible for managing nursing staff schedules and timekeeping to ensure compliance with budgetary, staffing, and regulatory guidelines established by corporate leadership and nursing administration. This role also supports Central Supply operations and assists with Health Information and administrative duties at the nursing station to promote efficient, high-quality resident care.
The Scheduling Coordinator plays a critical role in maintaining accurate staffing levels, timekeeping records, medical documentation support, and resident care supply inventory in accordance with facility policies and applicable regulations.
Essential Responsibilities Nursing Department Scheduling- Utilize staffing and scheduling technology to assign staff based on facility needs
- Forecast staffing needs and anticipate schedule adjustments
- Request per diem and agency staff as needed
- Document staff assignments and code schedules to ensure timecard accuracy
- Communicate staffing changes, open shifts, and schedule adjustments using electronic communication systems
- Apply collective bargaining agreements and staffing policies, when applicable
- Report daily staffing status to supervisors and department leaders
- Use problem-solving and critical-thinking skills to address staffing gaps
- Coordinate scheduling questions or concerns with appropriate leadership
- Maintain daily employee timecards using timekeeping software
- Run daily reports to verify punch accuracy and resolve discrepancies
- Ensure schedules align with timekeeping records
- Enter and verify bonuses, absences, transfers, and job/location changes
- Secure and retain all timekeeping documentation for each pay period
- Manage administration, distribution, and inventory of resident care supplies
- Ensure supplies are stocked and distributed according to facility policies
- Support the Health Information team by maintaining organized, accurate, and accessible resident medical records
- Perform administrative and clerical duties at the nursing station as needed to support resident care delivery
- High School Diploma or GED required
- Experience in healthcare, skilled nursing, or assisted living preferred
- Experience with healthcare scheduling and/or timekeeping required
- Basic computer skills with the ability to learn company software
- Must successfully pass a criminal background check per Minnesota Department of Human Services guidelines
