Come join our team! At Haiti Outreach, we work in Haiti to build effective leadership systems and safe water access so that we may see Haiti as a developed country in our lifetime. The majority of our staff are in Haiti but we have a small team in Minneapolis, Minnesota. We are looking for someone who has a passion for international development work that can help with financial, administrative and supportive capacities.

Operations Coordinator and Bookkeeper Responsibilities Financial & Administrative
  • Process invoices and expense reimbursements in Quickbooks
  • Assist with bookkeeping and bank reconciliations
  • Coordinate with accountants for audits and tax filings (990s)
  • Coordinate vendor relationships and contracts
  • Coordinate cloud record keeeping
Compliance & Governance
  • Track state charitable registration renewals
  • Maintain corporate records (bylaws, meeting minutes, resolutions)
  • File annual reports with the state
  • Update Employee Handbook
  • Keep insurance policies current (D&O, liability)
Donor Operations
  • Maintain CRM data hygiene
  • Process donations and generate acknowledgement letters
  • Coordinate mailings
  • Coordinate donation collection at fundraising events as needed, including attending events.

NOTE:

currently we are not taking group trips to Haiti but when we do

Trips
  • Help schedule trips for groups, staff, and occasionally others
  • Arrange flights and lodging, communicate with travelers as needed
  • Track payments
  • Track and provide trip payment accounting
Travel
  • Travel to fundraising events we hold in the Twin Cities area a few times a year
  • Travel to Haiti is possible when it is safe to do so

Experience with Quick Books is required.

This position is part time (8-10 hours/ week). Flexible hours. In-person 1-2 days a week at the coworking space Modern Well.
