- Schedule: every Friday, 7:45am to 4:45pm (one-hour lunch) + additional days to cover for permanent Receptionist when she goes on vacation/appointments, etc. (will get notice ahead of time for those dates)
- Location: 100% in office downtown St. Paul - parking is paid for by firm

Responsibilities:
- Reception & Guest
Experience:
Welcome and assist all visitors; maintain the visitor log; issue guest passes and keycards; validate parking; and support use of conference rooms and A/V equipment. - Mail & Deliveries:
Handle daily mail pickup, sorting, scanning, and distribution; prepare outgoing shipments; and coordinate courier and package deliveries. - IT & Facilities Support:
Assist with on-site IT coordination, including scheduling vendor visits, troubleshooting conference equipment, and providing basic hands‑on support as directed by IT. - Administrative Support:
Perform a variety of office tasks such as copying, scanning, filing, shredding, and mailing; assist with travel arrangements; and prepare correspondence, spreadsheets, and reports. - Client Support:
Serve as backup to prepare client meeting materials; assist with assembling documents, check deposits, and other client service needs. - Meeting Coordination:
Schedule and prepare for internal and external meetings, including ordering food and supplies, setting up rooms, and ensuring technology is working properly. - Facilities Management:
Oversee building access (badges, parking passes), office maintenance requests, vendor coordination, and supply ordering; assist with employee events, including food and beverage setup and cleanup.
Requirements:
- Commit to working every Friday - they want someone who is looking to work this part‑time schedule for the foreseeable time.
- Minimum of 1 year of administrative experience in a professional office environment.
- Proficiency in Microsoft Office Suite and general IT/equipment setup.
- Strong organizational and multitasking skills, with a customer‑service mindset.
