Position Summary

The Sales Coordinator serves as a central point of communication and support for the Sales and Marketing departments. This role ensures accurate data management, efficient coordination across departments, timely customer communication, and consistent use of CRM and ERP systems to support sales operations and forecasting.

Key Responsibilities Sales & Marketing Coordination
  • Act as the primary point of contact for internal communications within Sales and Marketing, and assist with inquiries from Accounting, Engineering, Production, and other departments.
  • Coordinate closely with Regional Sales Managers, Aftermarket Sales, affiliate company sales representatives, and Legal Counsel as needed.
  • Organize and participate in weekly sales and proposal meetings using Web Ex or other meeting platforms.
Customer & Lead Management
  • Receive, qualify, and record sales leads from multiple sources, including inbound calls, field sales, website forms, trade shows, intercompany referrals, and other marketing channels.
  • Maintain accurate and complete customer records in the CRM, including contact information, account details, opportunity data, and communication history.
  • Communicate directly with customers to gather core project information and qualify requests for proposals (RFQs), relaying details to the appropriate sales personnel.
  • Provide customer assistance when sales representatives are unavailable and escalate urgent matters via CRM, email, or phone.
CRM, Reporting & Data Integrity
  • Monitor and enforce proper CRM usage to ensure accurate sales forecasting, RFQ tracking, prioritization, and deadline management.
  • Develop and prepare reports on sales activities and key performance indicators (KPIs) using the CRM system.
  • Continuously identify and implement opportunities to improve Sales and Marketing operational efficiency.
Proposal & Contract Support
  • Assist with the preparation of proposals for standard equipment and applications.
  • Proofread proposal documents for accuracy, formatting, and grammatical consistency.
  • Follow up with customers regarding proposal status as required.
  • Prepare and distribute standard Mutual Non-Disclosure Agreements (MNDAs), Non-Disclosure Agreements (NDAs), and Mutual Confidentiality Agreements (MCAs) using the CRM system.
  • Read, understand, and support the review of contractual documents in coordination with Legal Counsel.
Order Processing & Systems Support
  • Enter new purchase orders into company systems accurately and in a timely manner.
  • Utilize ERP software to research costs from previous projects and products to support proposal and pricing activities.
Trade Shows & Travel Coordination
  • Coordinate trade show preparations with Engineering and Production teams.
  • Assist with travel arrangements for Sales and Applications Engineering staff.
  • Occasionally represent the company at industry-related trade shows.
  • Distribute marketing materials, including brochures, photos, and proposals, to customers and sales staff upon request.

  • 5 years of experience working in an operations, sales, or legal environment.
  • Proficiency in Microsoft Office Suite
