TBEY Arts Center, Inc. seeks a highly organized, detail‑oriented, and mission‑driven Development & Donor Operations Coordinator to support the organization’s fundraising, donor stewardship, grants administration, and event logistics.
This role is a critical execution and operations position that supports all aspects of fund development while working under the strategic leadership of the Executive Director and Interim Director of Fund Development. The Coordinator ensures that fundraising systems run smoothly, deadlines are met, donors are stewarded with care, and events and campaigns are supported with strong administrative and logistical follow‑through.

- Maintains confidentiality and integrity when handling donor, funder, and organizational information.
- Research and track small and mid‑sized grant opportunities (local, corporate, private foundations).
- Draft and submit grant proposals, including narratives, budgets, and attachments.
- Support larger or more complex grant proposals led by the Interim Director by preparing drafts, data, and supporting materials.
- Maintain a grants calendar and ensure all deadlines, reporting, and compliance requirements are met.
- Collaborate with program staff to gather outcomes, stories, and data for proposals and reports.
- Maintain accurate donor records in Give Butter (or other CRM).
- Process gifts, acknowledgments, thank‑you letters, and donor receipts in a timely manner.
- Support donor stewardship activities, including welcome packets, impact updates, and recognition.
- Track donor interactions and assist with follow‑up coordination for staff and board members.
- Support logistics for major fundraising events (e.g., Star Gazed Benefit Concert, productions, donor gatherings).
- Assist with event timelines, vendor coordination, RSVPs, materials preparation, and day‑of support.
- Support smaller fundraising initiatives such as giving days, seasonal appeals, and campaigns.
- Track event‑related expenses, revenue, and post‑event data.
- Assist in preparing sponsorship packets, proposals, and tracking documents.
- Maintain sponsor lists, deliverables, and acknowledgment schedules.
- Coordinate sponsor communications and fulfillment in collaboration with leadership.
- Track fundraising metrics, revenue progress, and donor engagement data.
- Prepare internal reports for the Executive Director, Interim Development Director, and Board.
- Support development system documentation and process improvement.
- Assist with donor mailings, email lists, and fundraising communications logistics.
- 2+ years of experience in nonprofit development, donor relations, grants writing and administration, or fundraising support.
- Strong organizational and project management skills.
- Excellent written communication and attention to detail.
- Experience with donor databases or CRMs (Give Butter preferred).
- Proficiency with Google Workspace and Microsoft Office.
- Ability to manage multiple deadlines and priorities.
- Comfortable working collaboratively with staff, consultants, board members, and vendors.
- Passion for arts access, youth development, and community impact.
- Familiarity with grants administration and compliance.
- Knowledge of Milwaukee’s nonprofit or arts landscape.
- Experience working in a growing organization with evolving systems.
- 20–25 hours/week.
- Hourly range: $20/hour.
