Responsibilities- The Payroll Coordinator prepares and processes the payroll for a specific region or group.
- Perform the full weekly and bi-weekly payroll cycle for unionized personnel, administrative personnel and members of the board.
- Retrieve and validate the hours worked from the accounting system and import them into the payroll system. Verify and analyze employee payroll (pay correction, change of status, special rates, insurance premium, etc.) prior to transmission.
- Manage time banks, sick leave banks and floating vacations.
- Guarantee the effective management of vacation pay.
- Guarantee the effective management of salary input, maintenance allowance, etc.
- Guarantee timely payroll transmissions at all times.
- Send payroll accounting entries to the accounting department every week.
- Verify and post-employment records.
- Respond to employment insurance inquiries.
- Participate in the management of audits and SOX compliance.
- Answer internal and external calls as the contact for all payroll matters.
- Participate in the compliance management of the year-end process (T4, R1, CSST / WSIB, etc.).
- Prepare month-end reports in compliance with deadlines and proceed with check requisitions (pension scheme, union dues, social club, etc.).
- Complete the Statistics Canada reports.
- File payroll-related documents.
- Process weekly and bi-weekly payroll for multiple employee groups and union classifications.
- Work cohesively with the Payroll and HR Operations teams.
- Maintains and ensures the integrity and confidentiality of all employee files and HRIS records including employee information, reporting relationships, position codes, salary data, etc. by maintaining consistent treatment of department controls and procedures.
- Calculate complex pay scenarios including prevailing wages, regular rate of pay union dues, pension contributions, and health & welfare deductions.
- Process garnishments, tax levies, and other court-ordered deductions in compliance with federal and state regulations.
- Answer questions and assist with Payroll issue resolution for all VNA employees.
- Follow all SOPs to ensure ongoing internal control compliance.
- Use the Case Management system for accurate tracking of question / resolution.
- Work closely with and have a good understanding of the payroll dependencies for Human Resources, Data Entry, Payroll Tax and Payroll General Ledger.
- Cross-trains and serves as backup to others in the department as necessary.
Pay Rate: $28.57 / Hour
