Overview
Marquette University seeks an Academic Coordinator for the Counselor Education and Counseling Psychology (CECP) department. The role supports graduate course scheduling, student advising, departmental budgeting, event planning, faculty search assistance, and program assessment.
Responsibilities- Schedule on‑campus and online CECP graduate courses, enter course codes, and distribute permission numbers in collaboration with the CECP Chair.
- Participate in course approval, bulletin updates, and classroom/meeting assignments and enrollment adjustments for on‑campus and online graduate programs.
- Provide academic and pre‑service advising for graduate students, maintain graduate files, and collaborate with Program Directors, School Counseling, CMHC, Counseling Psychology, and the CECP Chair.
- Assist with preparation of graduate student handbooks, forms, and editing of the Graduate Bulletin; submit graduation verification and licensure forms.
- Facilitate and record expenditures from the department budget, including travel expenses, reimbursements, office supplies, and grant work.
- Plan events for on‑campus master’s and doctoral interviews, new student orientations, department colloquiums, poster events, meetings, and other miscellaneous department and student events as needed.
- Serve as an administrative advisor to the CECP Graduate Student Organization (GSO); consult on university policies, serve as assistant academic advisor, and oversee social event planning and diversity scholarship organization.
- Work with the CECP Chair to prepare assessment and required accreditation data for on‑campus and online programs, collect alum survey data, and compile reports.
- Assist in faculty and staff searches, schedule and record minutes at departmental meetings, prepare promotion and tenure dossiers, provide assistance and training to adjunct instructors and supervisors; coordinate communication about scholarship opportunities, travel reimbursements, and financial aid opportunities to program students; supervise student employees, hire, train, discipline, terminate assignments, and oversee event and operations student staff.
- Bachelor’s degree in Education, Psychology, Business, Communications, or a related field; a minimum of 1 year of relevant experience.
- Strong organizational, interpersonal, and communication skills; commitment to diversity, equity, inclusion; ability to work across cultures and with a diverse population of faculty and students.
- Commitment to and ability to maintain confidentiality and have critical judgment and discretionary capacity; work autonomously and on a team while displaying excellent project and time management skills.
- Preferred supervisory experience and a history of excellent customer service and problem solving; courteous demeanor.
- Experience coordinating processes and/or events; work within a counseling or clinical mental health counseling profession and higher education environments.
