The Associate Operations Specialist provides foundational support to the operations team by assisting with account documentation, data entry, and routine service tasks. This entry-level role is designed for a detail-oriented individual who is eager to learn the financial operations function, support client service workflows, and grow into more advanced responsibilities over time. The role focuses on accuracy, organization, and supporting the smooth flow of daily operational work.
Reports to:
Office Manager
- Prepare and organize client paperwork for account openings, transfers, and updates.
- Enter client and account data accurately into internal systems.
- Support routine client service tasks such as address changes, beneficiary updates, and basic requests.
- Assist with document imaging, filing, and workflow tracking.
- Perform data entry, reporting, and document management to support firm operations.
- Support the Office Manager with project-based initiatives and workflow tracking.
- Monitor tasks assigned through CRM or workflow tools and complete them in a timely manner.
- Learn firm systems, processes, and custodian procedures with guidance and training.
- Participate in team meetings and contribute to continuous improvement discussions.
- Associate’s or Bachelor’s degree preferred.
- 0–2 years of experience in office administration, client or financial services.
- Strong attention to detail and willingness to learn new systems and processes.
- Comfortable with Microsoft Office Suite;
Excel familiarity preferred. - Strong organizational and follow-through skills.
- Positive attitude and willingness to take direction and grow professionally.

Ensures all paperwork and data entry is precise. - Reliability:
