Job Summary:

The Parks Office Assistant III is located at McKinley Marina. This position will report to the marina office to interface directly with phone inquiries, email inquiries, walk-in traffic, and staff to clearly communicate Parks information. Provide consistent and reliable support in responding to public inquiries, greet and support tenant and transient boaters at the marina, and greet and support visitors. Answer the general office phone line, responding or directing calls to appropriate staff, and perform general office duties and special projects as assigned.

This position requires data entry with a strong focus on accuracy, and billing and cash handling experience. The Parks Office Assistant III will also provide administrative and clerical support for the marina office including assisting with daily office operations, data entry, scheduling and coordination of program and facility needs including ordering and tracking budgets. This role works closely with park operations, works with INFOR, City Works, Rec Trac systems, and assists with purchasing, submitting service requests, and scheduling events.

Candidates must be able to work Monday-Friday, 8am to 4pm, and have flexible availability during evenings, weekends, and overtime on occasion. This is an in-person position.

Essential Responsibilities:

Provide reliable receptionist services as the primary contact at the marina office desk, greet and support visitors and walk-ins.
Perform cash handling and cashiering duties, complete over the phone payments and credit card processing, answer phone calls during business hours, and appropriately direct calls to relevant staff. Manage the marina answering system, professionally address public inquiries through timely responses, and support consistent and clear messaging of the marina.
Expeditiously respond to emails and intake/sort/distribute daily office mail and packages, including deliveries. Support the marina manager in billing and assigning slips for the season, annually. Perform banking, cash handling, and auditing duties.
Perform office duties as assigned, including copying, laminating, ordering supplies, and printing orders. Keep the office supplies stocked and maintain the office space. Maintain digital communications logs and relevant files for future reference. Work closely with the marina manager to ensure that public responses and interactions are professional, accurate and timely. Support the marina manager with the management of digital and paper files as requested.
Under the direction of the marina manager, submit requisitions for purchases of commodities and services through the INFOR system and petty cash. Account for petty cash balance, receipts, and reporting.
Support the McKinley Marina staff through administrative and physical duties in and around the marina.

Perform all other duties as assigned.

Minimum Requirements:

Current resident of Wisconsin.
Possession of a valid Wisconsin Driver's License, able to be maintained throughout employment.
Possession of a High School Diploma or GED equivalent.
At least one (1) year of Administrative experience.
Intermediate knowledge of Microsoft Office applications, including Word, Excel, PowerPoint, and Teams.
Intermediate knowledge of Infor (purchasing system) and City Works/Issue Reporter (work order systems).
Intermediate knowledge of phone answering systems with voicemail trees.
Intermediate knowledge of the internet and intranet.

Preferred Qualifications:

Reception experience for a public organization.
Data entry with a high level of accuracy.
