Overview
The Executive Assistant is a polished, professional individual with a service-oriented demeanor. This role supports continuous improvement both personally and for the business. The ideal candidate works well in collaborative team environments with maturity, proactive communication, relationship-building skills and resiliency. This role will serve as the key administrative partner to 2-3 Vice Presidents and is based at our Milwaukee HQ on-site five days a week, with occasional hybrid flexibility.
Responsibilities- Provide non-routine project-based and administrative support to senior-level management, handling a high volume of competing requests with professional discernment on urgency and prioritization.
- Provide extensive calendar support, prioritizing multiple calendars and communicating effectively with various stakeholders, especially Administrative colleagues across the company.
- Coordinate, schedule, and manage travel, meetings, and conferences for leadership.
- Initiate and continuously improve administrative procedures for the leader/department.
- Follow up on critical emails for executives, prioritizing requests.
- Schedule, reschedule, organize, and attend meetings as needed.
- Prepare presentations, reports, and statistics from information compiled from various sources.
- Demonstrate working knowledge of the company’s product/service, mission, goals and values, and assist with implementing systems/processes to operate effectively and achieve success.
- Collaborate with peers to balance workloads and provide proactive customer service; anticipate unspoken needs.
- Work independently to anticipate the needs of executives and the team with foresight and initiative.
- Support multiple high-level executives effectively.
- 5+ years of progressively responsible Executive Assistant experience in dynamic, high-growth environments
- Bachelor’s degree strongly preferred; alternatively, 10 years of relevant work experience may be considered in lieu of a degree
- Advanced working knowledge of Microsoft Office Suite (PowerPoint, Word, Excel) and collaborative tools (SharePoint, Teams, One Drive for Office 365); comfortable integrating mobile technology platforms
- Self-starter mindset with initiative to continuously improve leadership and company processes
- Proven ability to organize complex domestic and international travel, including processing travel visas and executing detailed itineraries
- Experience with procurement, budgeting and/or project management software tools
- Strong verbal and written communication skills
