Overview
Under the direction of the Associate Dean, the Coordinator provides comprehensive support of MATC’s Protective Services programs. The role involves lead scheduling support, certification testing logistics, compliance documentation, and AHA Training Center coordination. The Coordinator will serve as a project manager and the primary point of contact for students, faculty, staff, and external partners. Responsibilities include instructor and preceptor training support, student performance and certification tracking, and basic budget and grant support.
Characteristic Duties and Responsibilities- Build and adjust semester and session schedules, maintain calendars, room and lab assignments, and equipment requests.
- Track tasks, risks, and deadlines, and publish updates to stakeholders.
- Recommend process improvements for scheduling flow, testing operations, communications, and student touchpoints.
- Coordinate practical and written exam logistics in line with WTCS requirements, including facility reservations and roster confirmation.
- Maintain Training Center compliance per the AHA Program Administrative Manual, manage course rosters and eCards, and monitor instructor files.
- Support onboarding and refreshers for adjuncts, skills evaluators, and preceptors, maintaining training sign‑ins and renewal trackers.
- Act as the primary contact for Protective Services agencies and regulatory partners, coordinating site access and partner communications.
- Coordinate lab and training ground setups and tear‑downs, maintain equipment checklists, and track readiness of classroom technology.
- Track student progress on certification steps, coordinate information sessions and outreach events, and provide student advising support.
- Establish and maintain positive work relationships with staff, faculty, and administrators.
- Associate’s degree and three (3) years’ experience in protective services or a related field, including program or project coordination. Higher education experience preferred.
- Bachelor’s degree in a related protective services field is preferred.
- No required licensure or certification, but preferred certifications include WI EMT, Firefighter 1, or WI LESB Police Officer.
- Excellent communication and interpersonal skills, strong organizational abilities, and the ability to manage multiple projects and meet deadlines.
- Proficiency in the use of computers and software specific to the position, including spreadsheets and the Internet.
- Ability to provide exceptional customer service and work effectively with minimal supervision.
