Position Summary
The Executive Assistant is a polished, professional with a service-oriented demeanor. This person has a proactive learning mindset to support continuous improvement both personally and for the business. The ideal candidate has an aptitude for working in collaborative team environments with a focus on maturity, proactive communication, relationship-building skills and resiliency. This role will serve as the key administrative partner to 2-3 Vice Presidents.
This role is based out of our Milwaukee HQ. This role is on-site five days a week, with occasional hybrid flexibility.
- Provides non-routine project-based and administrative support to Senior-level management, handling high volume of competing requests that require professional discernment on appropriate urgency/prioritization to complete.
- Provide extensive calendar support requiring prioritization of multiple calendars with effective communication across various stakeholders (especially Administrative colleagues) throughout the company.
- Coordinates, schedules, and manages travel, meetings, and conferences for leadership.
- Initiates and continuously improves administrative procedures for leader/department.
- Follows up on critical emails for executive, while prioritizing requests.
- Heavy focus on scheduling meetings, rescheduling meetings when necessary, meeting organization and attending meetings.
- Prepares presentations, reports, and statistics based on information compiled from various sources regularly.
- Displays a working knowledge of the company's product/service + mission critical goals, values and assists with the implementation of systems/ process that the company needs to operate effectively and achieve optimal success.
- Work as a collaborative team member with peers to help level-load work; take initiative to understand the unspoken need and deliver proactive customer service.
- Work independently to anticipate needs of executives and team. With foresight and initiative in daily work.
- Comfortable supporting multiple high-level executives.
- 5+ years of progressively responsible and successful Executive Assistant experience in dynamic, high-growth environments
- Bachelor's degree strongly preferred; alternatively, 10 years of relevant work experience may be considered in lieu of a degree
- Advanced working knowledge of Microsoft Office Suite (i.e. PowerPoint, Word, Excel, and shared collaborative tools such as SharePoint, Teams and One Drive for Office 365) with comfort of use and integration of mobile technology platforms.
- A "Self-starter" mindset that takes initiative to continuously improve processes for ongoing effectiveness of the leadership team and company.
- Expertise at organizing complex domestic and international travel, with experience processing travel visas. Executing detailed travel agendas.
- Experience with procurement, budgeting and/or project management software tools.
- Strong communication skills, verbal and written.
