Accounts Payable Specialist

Description

The Accounts Payable Accountant supports the financial operations of a nonprofit organization by managing daily and recurring accounts payable activities. This role is responsible for processing transactions, maintaining accurate vendor information, preparing payments, and ensuring compliance with nonprofit financial standards and regulatory requirements. Although similar to a clerk level position, it carries full time level responsibility for managing the accounts payable workflow.

Key Responsibilities

Accounts Payable Processing

- Enter invoices and data accurately and in a timely manner

- Release ACH payments and prepare other payment batches

- Process loan disbursements every Tuesday and Thursday

- Process all other accounts payable items on a biweekly schedule

Vendor Management

- Maintain and update all vendor files

- Set up new vendors as needed

- Ensure required documentation is collected and maintained including W9 forms

Compliance and Reporting

- Support preparation and distribution of 1099 forms

- Ensure compliance with nonprofit finance requirements and internal control standards

Systems and Tools

- Utilize Abila MIP ERP for accounts payable processing

- Use Ventures banking software for payment related activities

Qualifications

- Experience in accounts payable, accounting support, or a similar clerical function

- Experience working in a nonprofit environment is preferred

- Strong attention to detail and accuracy

- Ability to manage recurring deadlines and structured processing schedules

- Familiarity with Abila MIP ERP or similar accounting systems is preferred

- Ability to work independently and manage a consistent transaction workload

Requirements - Proven experience in accounts payable or a related role.

- Strong knowledge of account coding and invoice processing.

- Familiarity with Automated Clearing House (ACH) transactions.

- Ability to manage check runs and payment schedules effectively.

- Proficiency in financial software and Microsoft Office Suite.

- Excellent organizational and problem-solving skills.

- Strong attention to detail and accuracy in financial tasks.

- Ability to communicate effectively with vendors and team members.
