Overview

STGi is currently seeking an Administrative Assistant to provide services at the Georgia War Veterans Home.

Job Summary

The Administrative Assistant provides non-clinical administrative and organizational support to the Director of Nursing. This role supports nursing operations through clerical tasks, appointment confirmations, medication supply delivery, document organization, and professional front-desk support. All duties are performed under the direction of the Director of Nursing, with no clinical decision-making or record review responsibilities.

Responsibilities
  • Call to confirm resident appointments as directed
  • Relay appointment confirmations, cancellations, or changes to the transportation department promptly
  • Communicate messages accurately between nursing administration, units, and ancillary departments
  • Document appointment communications per facility policy
  • Transport and deliver floor stock medications to nursing units per facility policy
  • Maintain delivery logs and inventory checklists for floor stock medications
  • Report low inventory or discrepancies of floor stock medications to nursing leadership.
  • No medication administration, verification, or clinical judgment performed
  • Organize, file, scan, copy, and label nursing documents as directed
  • Maintain orderly paper and electronic filing systems
  • Assemble packets, binders, and folders for audits, surveys, meetings, or orientation
  • Ensure documents are stored in designated locations per policy
  • Does NOT review, analyze, interpret, audit, or validate records
  • Greet interview candidates, vendors, staff, and visitors professionally
  • Assist with interview logistics (sign-in, packet distribution, escorting)
  • Answer and route incoming calls appropriately
  • Maintain visitor sign-in/out logs per facility policy after collection from receptionist
  • Assist with clerical tasks including: preparing packets and forms, copying and distributing memos or communications, maintaining administrative supply inventory, and tracking completion of assigned non-clinical tasks
  • Support DON with organization of: staff meeting materials, orientation paperwork, and training attendance sheets

Skills and Qualifications
  • Must be able to read, write, speak and understand the English language.
  • Must possess the ability to make independent decisions when circumstances warrant such action.
  • Must possess the ability to deal tactfully with team members, residents, visitors and the public.
  • Must possess the ability to work harmoniously with other team members.
  • Must be able to follow written and oral instructions.
  • Must have patience, tact, cheerful disposition and enthusiasm as well as be willing to handle residents, staff and visitors based on whatever maturity level they are currently functioning.
  • Must not pose a direct threat to the health or safety of other individuals in the workplace.
  • Must demonstrate professional proficiency with computers and standard office technology
  • Proficient in Microsoft Office applications, including Word, Excel, and Outlook, for routine administrative and documentation support
  • Ability to accurately enter, retrieve, scan, copy, and organize information in electronic and paper-based systems
  • Capable of learning and using facility-specific software and systems as required
  • Maintains accuracy, confidentiality, and professionalism when handling electronic information
Required Education
  • Must possess, as a minimum, a high school diploma or GED.
  • On-the-job training provided.
  • Basic knowledge of medical terminology and nursing practices is helpful.
  • Ability to obtain and maintain an active American Heart Association BLS and first aid certification.
  • Must be legally eligible to work in the United States.
Working Conditions and

Physical Requirements
  • Works in office areas as well as throughout the facility.
  • Moves intermittently during working hours.
  • Subject to frequent interruptions.
  • Works beyond normal working hours and on weekends, holidays, other shifts and in other positions when necessary.
  • Communicate with nursing team members, and other department team members.
