Position Summary
First point of contact for visitors and phone inquiries for the Parish including parishioners and all others. Responsible for providing administrative and related office services for staff members, and various other individuals and groups of parishioners.
Position Responsibilities
- Greets and refers visitors, schedules appointments, manages daily planner for Pastor/Administrator, takes messages, processes mail, prepares letters, reports, and memos, and provides general information about the Parish as requested.
- Meets with parishioners and other visitors to assist with providing information and resources for such matters but not limited to funerals, weddings, mass intentions, and other Parish matters.
- Processes and records offertory gifts
- Maintains the timely and accurate sacramental records of the Parish as assigned.
- Manages and establishes office record-keeping system(s) and database.
- Maintains the inventory of office supplies and Parish documents and/or contracts.
- Manages Parish Calendar of Events
- Performs the more sensitive, difficult, and complex administrative functions.
- Supports and assists others with coordination of Parish communications, programs and events as needed.
- Monitors keys for facility.
- Maintains and organizes the main office
- Other duties as assigned
- High school diploma or equivalent.
- Three or more years in an office manager or equivalent position. Previous work experience in a Parish preferred.
- Proficiency in use of computer software such as Microsoft WORD, and Publisher, and in the use of databases.
- Ability to maintain the highest level of confidentiality regarding Parish and parishioner information and matters.
- Exceptional organization skills and ability to multitask.
- Exceptional communication, empathy, and interpersonal skills.
