Commercial Team Assistant

Be the engine behind commercial operations in a fast-moving, client-driven environment

We re looking for a detail-driven Commercial Team Assistant who thrives on structure, coordination, and getting things done right the first time. This role sits at the heart of commercial operations, supporting sales, pricing, SAP data, client activity, and cross-functional collaboration across the business.

Key Responsibilities

Commercial & Operational Support

  • Manage oil and application samples for fragrances and flavours in line with client requirements
  • Maintain and update sample stock folders and tracking documentation
  • Link client bases to respective Account Representatives (ARs)
  • Enter and manage non-innovation projects in Atlas
  • Ensure Atlas is kept fully up to date, including advance, adoption, and discontinuation notices
  • Update MMM meeting minutes and shared documentation on G-Drive

Systems, Data & Compliance

  • Prepare and upload safety documentation and  to the UL Portal
  • Support SRM-related activities
  • Maintain accurate commercial data and documentation standards

Commercial Operations Support

  • Coordinate conferences and meetings between clients and internal support teams (Supply, B2B, AR, etc.)
  • Manage customer pricing requests, including sourcing and quoting
  • Ensure accuracy and excellence in all pricing and commercial administration activities
  • Support rejected invoice resolution in collaboration with Xerox, Customer Service, and Commercial teams

SAP & Reporting

  • Update SAP master data and create MDMs for new items
  • Maintain and update CMIRs
  • Prepare and implement price increases and changes in SAP
  • Ensure pricing and terms remain accurate and current
  • Assist with regional sales budgets, targets, vitality reports, and ad-hoc commercial requests

Contracts, Planning & Coordination

  • Support local contracts, including third-party loading
  • Assist with S&OP processes
  • Coordinate stability requests with ACMs and FDMs
  • Organise, collate, and maintain UL GBU documentation

General Support

  • Travel and expense support when required
  • Logistics coordination for visitors, meetings, and orientation programmes
What are we looking for
  • Strong administrative and commercial support experience
  • Exposure to SAP, pricing administration, or master data management is a strong advantage
  • Highly organised with excellent attention to detail
  • Confident communicator who works well across functions
  • Proactive mindset with a continuous-improvement approach
  • Comfortable working in a structured, deadline-driven environment
