Administrative Assistant II (High School)
Schedule: Monday - Friday (7:50 am - 4:05 pm) 40 hrs/wk (10 months)
Wage: $18.52 per hour (hourly wage increase on 7/1/26 - $19.13)
The High School Principal's Secretary is responsible for scheduling and maintaining the principal's calendar and activities and ensures effective and efficient office operations. This position updates and maintains numerous functions in the high school student database and runs reports as needed for staff and state reporting. A working knowledge of computer systems is required to work efficiently. This position also assists students, staff and the general public with various requests in a polite, calm, and timely manner.
II.POSITION RESPONSIBILITIES
- Maintains accurate and up to date student information in the Skyward student database system in areas such as general student information, food service, attendance, activities, emergency information, etc. and generates reports as needed.
- Maintains the teacher and para substitute system, Frontline Absence Management, to ensure classes are covered with appropriate staff.
- Ensures the main office runs efficiently and effectively and handles conflicts and situations when they occur. Supports administration with all requests and supports other clerical staff when needed. Assists with student and staff injuries and handles emergency situations as they occur following district procedures.
- Assists in the preparation of the academic excellence awards program and graduation ceremony ensuring all preparations are accurate and provided in a timely manner. Supports staff recognition in the areas of retirement and years of service awards.
- Provides office support in all general clerical areas and is proficient with the maintenance and working status of all office machines such as copiers, fax machines, postage machines, etc. Provides assistance to the nurse's office with student medication distributions. Performs other duties as assigned or requested.
- Manages and updates the principal's activities and schedule and ensures meetings and events are prepared in advance.
- Creates, edits and proofs documents such as the quarterly newsletter, letters to parents or students, or as requested by administration.
- Provides effective communication tools to staff and students to enhance organizational efficiency.
- Approves and creates requisitions and purchase order requests from administration and staff on Skyward ensuring budget accounts are correct and accurate. Records incoming shipments/orders and sends approved invoices with correct purchase orders to the district office for payment. Prepares district deposits accurately and efficiently.
- Provides monthly budget reports and manages the budget spreadsheet for administration and department chairpersons in preparation of the future year budget that is submitted to the district office.
- Answers the phone and routes incoming calls. Answers and screens questions from parents, students, district staff, and the general public regarding the Activity Director's schedule, athletics, activities, and general policies, rules, and regulations to students, parents, media, and the general public.
- Assists visitors in the building with needed information and appropriate identification if needed.
- Prepares correspondence including memos, reports, agendas, and documents.
- Assists with projects.
- Coordinates meetings and supplies as needed.
- Obtains, gathers, and edits data as necessary.
- Performs other support functions as requested.
- Provides support and back-up for other clerical staff as needed.
- Attends training sessions, seminars, department meetings.
- Performs other tasks and duties as assigned.
- Must be physically able to work on a computer, answer phones, greet visitors, and move around the office to perform other clerical tasks.
- Requires basic technical knowledge of computers and the ability to collect and process information accurately and confidentially.
- The work environment is an office setting with lots of contact with students, staff, parents, and visitors.
Education:
- Minimum of High School Diploma with additional training or experience in an office setting
- 2 year AAS in a related field preferred
- One or more years in an office setting
Required:
- Computer knowledge and skills working with documents and spreadsheets
- Google skills and knowledge are required
- Skyward skills or the ability to learn this system is required, previous student or other database experience is a plus
