SUMMARY: The Executive Assistant to the President & CEO provides administrative, organizational, and strategic support to advance the work of the Midland Chamber of Commerce. This role supports the daily effectiveness of the President & CEO through executive operations, communications, scheduling, and special initiatives, while upholding professionalism, confidentiality, and efficiency at the highest level of the organization.
The Executive Assistant also supports the work of the Board of Directors by coordinating meetings, communications, and governance-related processes. The position requires sound judgment, strong organizational skills, and the ability to manage multiple priorities in a fast-paced, community-facing environment.
ORGANIZATION: The Midland Chamber of Commerce is a 501(c)(6) not-for-profit membership-based organization that represents and supports the interests of its members. Visit Midland and Bush Convention Center (a city-owned facility) are contractually managed by the Midland Chamber. The Midland Chamber of Commerce Foundation is a separate 501(c)(3) nonprofit managed by the Midland Chamber.
ESSENTIAL JOB DUTIES AND RESPONSIBILITIES- Provide comprehensive administrative support to the President & CEO, including complex calendar management, meeting coordination, travel arrangements, and correspondence.
- Serve as a trusted point of contact for executive communications, exercising discretion and prioritizing inquiries appropriately.
- Draft, prepare, proofread, edit, and format executive-level correspondence, reports, presentations, remarks, and briefing materials.
- Support the President & CEO in tracking priorities, deadlines, follow-ups, and strategic initiatives.
- Maintain strict confidentiality and sound judgment regarding sensitive organizational, personnel, and leadership matters.
- Manage incoming visitors, mail, emails and telephone communications for the President & CEO, exercising discretion in responding to or routing inquiries.
- Research and provide information on subjects, as required.
- Work closely with staff to ensure timely completion of President & CEO-driven assignments.
- Exercise independent judgment in relieving the President/CEO of administrative details.
- Coordinate logistics for Board of Directors, Executive Committee, and other meetings, including scheduling, meeting support, and materials preparation, including agendas, packets, and supporting documents.
- Record, draft, and maintain accurate Board and committee meeting minutes in accordance with governance best practices.
- Maintain digital and physical documents, such as governance files, bylaws, policies, and Board rosters, manuals, terms, committee assignments, and attendance records.
- Support Board onboarding, officer transitions, elections, and annual governance processes.
- Serve as a liaison to Board members to facilitate communication and responsiveness.
- Represent the Midland Chamber of Commerce with professionalism in interactions with Board members, elected officials, members, and community stakeholders.
- Staff Chamber events (early mornings/evenings as needed) and provide elevated customer service to sponsors and VIPs.
- Serve as back-up support for answering phones and welcoming office visitors, as needed.
- Perform other duties as assigned.

Education and Experience
- 4+ years of administrative or executive support experience, preferably supporting a senior executive, or similar role.; nonprofit or chamber experience is a plus.
- Bachelor's degree preferred. Equivalent combination of education and experience may be considered.
