Summary
This position will cover the following Midland Cancer MMG Clinics:
Breast Surgery, Dermatologic Oncology, Hematology/Oncology & Surgical Oncology.
The role acts as the front-line person providing clerical, secretarial and receptionist support. The office support person coordinates the patient flow process within the practice by answering the phone, scheduling appointments, registering patients, verifying insurance information, confirming patient demographic information, collecting payments and scheduling tests and/or procedures. The individual also processes referrals and coordinates activity between front office, clinical staff, patients and providers.
As the initial contact person, the individual demonstrates respect, kindness, compassion, courteousness and professionalism to patients, families and visitors. The role demonstrates excellent customer service to a diverse patient population.
Responsibilities- Customer Service (20%) – Strives for excellent customer service, acknowledges and welcomes all patients, families and visitors, greets customers and answers incoming telephone calls in a timely manner and takes required action to resolve concerns or complaints.
- Patient Safety & Information Verification (20%) – Verifies and updates patient information, accesses insurance coverage websites and confirms provider assignment. Completes and updates all required forms including patient demographic, HIPAA, Patient Provider Agreement, Medicare Secondary Payer and consent for treatment.
- Appointment Scheduling (20%) – Accurately schedules patient appointments for all providers using the practice management, electronic medical record (EMR), insurance verification, Medifax, population health registry and Iterminal systems.
- New Patient Registration (20%) – Registers new patients, explains practice policies and procedures, obtains email address for patient portal registration and processes patient satisfaction surveys.
- Patient Departure (20%) – Prior to patient departure schedules future appointments, necessary tests and procedures, collects applicable copayments, processes referrals, obtains prior authorizations and checks out patients.
- Understands and applies HIPAA privacy regulations to daily verbal and written materials.
- Provides patient education on Televox, financial policy, HIPAA, Patient Center Medical Home (PCMH), PRC Customer Satisfaction survey and Patient Portal.
- Coordinates primary care and specialty provider referrals within My Michigan Health and other health systems.
- Schedules appointments and testing as required, obtains insurance authorizations if needed.
- Maintains cash drawer and balances procedures at the end of the day.
- Posts payments to patient accounts, processes all incoming communications, faxes, files, scans documents and maintains patient medical records.
- Performs office opening and closing procedures and may cover one practice or provide support in multiple practices.
- Performs medication and prescription release process, demonstrates teamwork, communicates clearly and trains new employees on the Patient Service Assistant position.
- Performs other duties as assigned.
Fingerprn – Fingerprinting
Required Education- High School Diploma (Associates Degree preferred).
- Reading, writing, mathematical and computer skills.
- Keyboarding skills needed to register patients and other office tasks.
- Knowledge of medical terminology, medical office policies, practices and procedures acquired through two (2) years working in a medical office.
- Interpersonal skills needed to communicate successfully with individuals and groups and interact with people at all levels.
- Exposure to stressful situations and public contact, including trauma, grief and death.
- Ability to wear personal protective equipment that includes latex or appropriate substitute.
- Must be able to move freely about the facility with or without an assisted device and perform the functions of the job as outlined in the job description.
- Requires frequent postural changes such as stooping, kneeling or crouching, and may expose to blood borne pathogens.
- Must follow My Michigan Health blood borne pathogen and TB testing as required.
- Overall dexterity required including handling, reaching, grasping, fingering and feeling; may require repetition of movements on a regular to frequent basis.
- Physical Demand Level: Sedentary. Must be able to occasionally (0‑33% of the workday) lift or carry 0‑10 lbs.
