Position Summary

Harness IP is seeking a detail-oriented and highly organized Accounts Payable Coordinator to join our Finance team. This role is responsible for processing foreign and domestic invoices, attorney reimbursements, maintaining vendor records, and managing various expense tracking schedules. The ideal candidate will bring excellent analytical skills, strong Excel proficiency, and the ability to thrive in a fast-paced, professional environment.

Key Responsibilities
  • Process foreign invoices including entering charges on a 3rd party payor portal, scanning backup into the system, securing attorney approval and processing payment files.
  • Review foreign associate invoices to ascertain they do not include disallowed expenses or foreign taxes where not specifically permitted.
  • Communicate with foreign associates to resolve outstanding questions and issues (Do not need to be able to communicate in a foreign language).
  • Act as backup for processing attorney reimbursements including attorney check requests, client development requests and travel reimbursement requests and processing express mail charges, including client chargeable and attorney/staff personal charges.
  • Reconciling vendor statements to the system and following up as needed.
  • Contacting vendors for W-9’s and statements.
  • Update Excel spreadsheets for various expense tracking schedules as needed or assigned.
Education & Experience
  • High School Diploma or GED Required, Associate's degree in Accounting, Finance, or a related field.
  • At least one (1) year of experience handling accounts payable for IP attorneys is desirable.
Skills
  • High attention to detail, superior analytical and organizational skills.
  • Ability to manage multiple priorities and deadlines while maintaining accuracy.
  • Strong communication skills to effectively interact with attorneys, vendors, and team members.
  • Strong Microsoft Excel skills (formulas, VLOOKUP, sorting, filtering) highly preferred.
  • Ability to interpret foreign currency codes and review translated communications.
  • Proven adaptability in a fast-paced, evolving environment.
Work Schedule
  • 37.5 hours per week, Monday through Friday.
  • Hybrid schedule: 3 days in-office and 2 days remote each week after initial in-office training and successful demonstration of necessary skills.
