The Admissions Coordinator manages the facility inquiry and admission process and provides customers with facility‑related information via facility tours, personal visits, and follow‑up. The role coordinates and implements effective customer relationship programs with the team.
QualificationsEducation:
- Associate and/or bachelor’s degree in business or communications preferred.
- Two years of equivalent experience in a customer relations or admissions coordinator position in lieu of a degree.
- Previous healthcare community relations experience preferred.
Experience:
- One year of experience in a role requiring customer relations or customer service. Background in community involvement preferred.
- Respond promptly to inquiry calls from hospital discharge planners, community contacts, families, and referral sources.
- Conduct facility tours and manage the admission process while maintaining updated bed availability and service information.
- Make outreach calls to medical, insurance, legal, financial professionals, and senior organizations to maintain relationships and inform referral sources of bed availability and new products/services.
- Maintain a current database of referral sources and alert department heads to projected changes in admissions, bed changes, and discharges.
- Ensure admission paperwork and signatures are obtained and communicate special needs of new admits. Enter admission data into the automated referral system.
- Coordinate customer relationship plans, chair customer relationship team meetings, monitor budgets, and track results.
- Maintain knowledge of federal and state regulations and reimbursement guidelines (Medicare and Medicaid) and assist with managed care referral processes.
- Maintain a database of medical contacts and community resources and communicate industry trends to staff and community contacts.
- Develop and implement special events and presentations for community education and promote the facility’s expertise in skilled nursing, specialty programs, and rehabilitation care.
- Perform other assigned tasks as necessary.
- Knowledge of reimbursement programs from payor sources or ability to learn them.
- Effective communication with residents, family members, referral sources, and staff at all levels.
- Skilled at making presentations and public speaking.
- Strong organizational skills.
