Job Summary

The Contract Administrator will serve as a key liaison between Supply Chain, Facilities, Management, Clients, and Vendors to ensure full compliance with contract terms and conditions. The role involves managing contracts from initiation through close‑out, maintaining financial accuracy, supporting procurement activities, and ensuring efficient communication across teams.

Key Responsibilities
  • Act as liaison between Supply Chain and other business units for contracts, purchase orders, scopes of work, and invoice resolution
  • Gather data and prepare bid documents, including terms & conditions and specifications
  • Attend pre‑bid meetings, site visits, and assist in contractor selection
  • Ensure accurate maintenance of cost of service data in work management and cost tracking systems
  • Review, verify, and approve invoices for processing
  • Reconcile material and equipment charges (credit card, ERS, etc.)
  • Assist project teams with cost estimates and documentation of contract changes
  • Prepare and participate in contract performance reviews
  • Ensure all project work is performed in adherence to contract requirements
Qualifications
  • Associate degree in Business Administration, Construction Engineering, or a related field (Bachelor’s degree preferred)
  • 3–5 years of experience in contract administration, procurement, billing, facilities management, or accounts payable
  • Experience with SAP and Maximo (preferred)
