Job Summary
This position as the Receptionist/Admissions Assistant is the first person many students and visitors encounter when they arrive at BMCC and as such should exhibit a courteous and friendly disposition. The Receptionist/Admissions Assistant will meet academic and professional qualifications, demonstrate dedication to academic excellence and student-centered education, and will support the mission and objectives of Bay Mills Community College.
Essential Duties and Responsibilities- Greets guests with a smile and friendly disposition.
- Maintains reception area in an efficient and orderly manner.
- Serves as receptionist, directing callers to proper individuals or offices.
- Answer phones, screens, and refer callers promptly and with professionalism.
- Sorts and distributes mail.
- Prepares, tracks, and files purchasing documents, such as purchase orders, invoices, and packing slips.
- Prepares and maintains purchase order logs.
- Follows up, in a timely manner, with appropriate departments or vendors if invoices, packing slips, or other documentation has not been received.
- Orders necessary office supplies as directed.
- Assists in maintaining filing system insuring all correspondence and other documents are filed appropriately.
- May assist with surveys, meeting minutes and various reports by compiling information needed for reporting purposes.
- Responsible for scanning reports to be stored digitally.
- Responsible for getting files ready to go into storage.
- Completes Starfish tasks as assigned.
- Assists with sending out admissions material to prospective students and other colleges and universities.
- Assists with processing student admission applications including transfer/guest, dual enrollment and returning students.
- Assists with processing transfer/guest admission applications.
- Assists with updating student information in Empower as needed.
- Assists with correspondence with students during the admissions process.
- Assists with sending email letters of acceptance to all students.
- Applies HOLDS on students in Empower when documents are missing when necessary.
- Utilize Accu Fund, Empower, and Jetpay to ensure smooth and accurate payment processing.
- Accept and process payments made via cash, credit card, or check.
- Stores cash and checks in a secure safe when not in use, ensuring only authorized personnel have access.
- Issue receipts and securely maintain records, delivering them to the accounting office at the end of each month.
- Review payments to verify the accuracy of accounts.
- Generate deposit reports, prepare and reconcile weekly and end of month deposit of cash and checks, ensuring accurate accounting of all funds.
- Other duties may be assigned within the scope and complexity of the position description.
- Ability to communicate effectively, both orally and in writing.
- Knowledge of Empower student database.
- Working knowledge of computer programs such as Word, Outlook, Excel, etc.
- Must be able to travel to conferences to upgrade skills as needed.
- Attention to detail and ability to cope with several tasks and projects simultaneously.
- Must have the ability and willingness to work cooperatively with others.
- Demonstrated understanding of and a commitment to the tribal college mission and purpose teaching and learning, high academic standards, and student success.
- Associate's degree in General Studies, Business Administration, or Office Administration or related field required.
- Minimum of one to three years of work experience in a similar position preferred.
- Excellent written communication and organization skills.
- Proven ability to work collaboratively with others, college and departmental committee experience preferred.
- Knowledge or experience working with people of diverse backgrounds, abilities, and needs.
- Knowledge or experience in working with Native Americans, in an educational setting preferred.
- While performing the duties of this job, the employee is regularly required to sit with occasional walking and standing.
- Occasionally the employee must bend, reach above shoulder level, kneel, and push/pull.
- The employee must occasionally lift and/or move up to 25 pounds.
- The employee must use hands for repetitive action such as simple and/or firm grasping.
- Duties are generally performed inside and not exposed to adverse conditions.
