Responsibilities- Schedule appointments, meetings, and reservations as needed.
- Coordinate staff travel arrangements including transportation and accommodations.
- Update and maintain office policies and procedures documents.
- Work with Microsoft Word, Excel, and ERP software to complete administrative tasks.
- Act as lead for new employee recruitment and selection.
- Coordinate employee performance evaluation and preparation.
- Review and coordinate employee development activities and training (Talent Fund – Going Pro).
- Administer compensation and incentive plans.
- Conduct new hire orientations.
- Open and distribute mail.
- Answer phone, screen calls and direct to appropriate parties.
- Pick up daily time tickets and enter them into the database.
- Maintain DST trimmer Sales Log.
- Order office supplies.
- Assist in creating quotes and work orders.
- Create and publish job position openings.
- Attend job fairs and college career & internship fairs.
- Update job sheets (Access and Sage) weekly.
- Facilitate scheduling meeting reviews of jobs with updated job sheets.
- Assist in creating and compiling quarterly WIP.
- Start work orders based on quotes, POs and customer communication.
- Backup servers and computers.
- Assist in creating sales brochures and pricing lists.
- Make standard evaluation templates for repair and refurbishing with estimated hours based on mold quantity, machine platform, and cavities.
- Maintain customer lists.
- Clean & transfer customer, supplier and employee data into Job Boss and keep it updated.
- Assist with export documents when needed.
- Close out jobs.
- Maintain vacation calendar and spreadsheet.
- Update software on office computers.
- Put pictures of jobs in job files.
- Knowledge of Sage Accounting Software is a plus.
Pay Range: $18.00-$22.00 per hour.
