The Air Export Coordinator – Government & Defense Logistics is responsible for the end-to-end coordination of air export shipments supporting government, military, and defense customers. This role ensures full compliance with all applicable regulations including ITAR, EAR, TSA, and international export controls, while maintaining high service standards, security, and accuracy in documentation and execution. The position requires close coordination with customers, airlines, customs authorities, internal operations teams, and approved vendors to ensure time-critical and sensitive shipments are handled securely and in accordance with contractual and regulatory requirements.
Please note this position requires the ability to obtain and maintain a U.S. government security clearance.
Key responsibilities and tasks Operations- Coordinate daily GDL air export shipments and activities, ensuring smooth execution in line with customer requirements, contracts, and internal SOPs.
- Receive, review, and process shipment documentation, ensuring accuracy, completeness, and timely distribution to carriers, customers, and overseas offices/agents.
- Coordinate pick-ups, deliveries, and warehouse activities, escalating issues and proposing timely solutions as needed.
- Track and trace shipments and status updates to stakeholders.
- Act as backup support for alternate GDL accounts and assist colleagues to maintain operational continuity.
- Ensure timely invoicing in accordance with company policy.
- Prepare and review export documentation including but not limited to AWBs, commercial invoices, packing lists, AES filings, and export licenses.
- Ensure proper execution of POA, SLI, AES filings (including licensed cargo), and export customs declarations.
- Maintain shipment files and record-keeping in compliance with US export regulations and internal audit requirements.
- Ensure full compliance with ITAR, EAR, OFAC, TSA, and IATA regulations.
- Verify export licenses (e.g. DSP-5/DSP-73), exemptions, and supporting documentation when applicable.
- Maintain strict adherence to chain-of-custody, security protocols, and classified/controlled cargo handling procedures.
- Serve as primary point of contact for government, defense contractors, and internal G&D stakeholders.
- Communicate effectively with overseas offices, agents, and customers regarding pre-alerts, documentation, and shipment status.
