Control Room Administrator
The Control Room Administrator is responsible for assistance in the daily coordination of all PS movements. The ideal candidate for this position is a motivated, team-orientated individual with the ability to successfully manage multiple activities while providing leadership and direction to our operational departments.
Responsibilities & Expectations- Coordinate fleet vehicle operations, including maintenance scheduling, refueling services, detailing, and related invoice management.
- Manage fleet administration, including vehicle registrations, insurance documentation, permits, and compliance for all company-owned vehicles.
- Oversee valet and Member vehicle operations, ensuring accurate daily vehicle logs, parking coordination with onsite Security, and auditing of vehicle and rental car records.
- Review PSNAX entries to ensure accuracy of Member vehicle parking charges, baggage handling chargebacks, and related logistical data.
- Manage third-party vendor relationships related to fleet, vehicle detailing, washing, and rental coordination.
- Serve as the badging and compliance coordinator, overseeing badge issuance and onboarding-related compliance requirements for P/S associates.
- Review all reservations to identify logistical requirements such as rental vehicles, service animals, and pets-in-cabin, and communicate relevant details to the Control Room and Member Services teams.
- Monitor and update international departure requirements and ensure boarding passes are printed daily for current and upcoming travel.
- Coordinate daily staff assignments and operational schedules, including alignment with airlines and federal authorities.
- Manage petty cash and track all operations-related expenses in accordance with company policies.
- Oversee and maintain operational equipment, including radios, surveillance kits, mobile devices (iPhones), and other assigned Operations assets, ensuring proper tracking, functionality, and inventory control.
- Maintain Control Room administrative communications, including email correspondence and distribution of shift briefings.
- Provide training and onboarding support for new control room administrator team members.
- Perform additional duties as required to support daily operational logistics and uphold the overall service mission.
- Bachelor’s Degree from an accredited institution preferred.
- Minimum education requirement of High school Diploma/GED.
- Ability to utilize Microsoft Office, specifically Outlook, Excel, and Word.
- Experience managing conflict and effective problem resolution.
- Excellent verbal and written communication skills.
- Strong multi-tasking and organizational skills.
- Demonstrated ability to lead teams.
- Pass a pre-employment drug screening + background check.
- Collection of SSN as part of the background check process will be required.
- Must be authorized to work in the United States.
- PS is a 24-hour facility and as such we require fully open schedule availability and flexibility for all positions within our operations departments, including weekends, holidays, and early morning/late evening shifts.
